Reservations & Office Admin

Position Summary

The Reservations & Administrative Coordinator is responsible for managing inbound guest communications (including phone calls, email, and reservation requests), greeting visitors, and supporting the administrative operations of the office. This role requires strong organization, discretion, and the ability to multitask efficiently in a dynamic hospitality setting.

Key Responsibilities

Reservations & Guest Communication

  • Answer incoming phone calls and emails promptly and professionally
  • Route guest inquiries and internal requests to the appropriate team members
  • Assist with reservation-related communication and general guest support

Front Desk & Office Support

  • Greet visitors and employees warmly and provide general assistance
  • Maintain a welcoming and professional front office environment
  • Assist managers with daily administrative tasks and operational needs

Administrative & Document Management

  • Prepare, organize, and maintain digital and physical filing systems
  • Scan, copy, distribute, and archive documents as needed
  • Support daily office operations, including invoice filing, incoming mail management, and document tracking
  • Ensure accuracy and completeness of files and paperwork

HR Support

  • Assist HR with onboarding paperwork and related HR documentation
  • Handle confidential information with professionalism, discretion, and integrity

Required Skills & Qualifications

  • Experience wit RESY and Open Table peferred
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Punctual, dependable, and strong time management habits
  • Comfortable handling confidential information
  • Proficiency with basic office tools (email, scanning/copying, file organization) preferred

Pay: $18.00 - $19.00 per hour
