Resident Services Coordinator

Position Summary:
The Resident Services Coordinator is the first point of contact for residents, owners, vendors, and guests. This role is essential in supporting daily office operations while delivering excellent customer service in a fast-paced property management environment.

Key Responsibilities:

  • Greet residents, owners, and visitors in a professional and courteous manner
  • Answer and route incoming calls and emails promptly
  • Open and distribute incoming mail on a daily basis.
  • Assist with resident inquiries, applications, and general requests
  • Receive and distribute packages, deliveries, and mail
  • Taking outgoing mail to the post office drop off box on a daily basis.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Maintain accurate records, files, and databases
  • Type, make copies, scan documents.
  • Assist in preparing correspondence that needs to be mailed.
  • Support property managers with administrative tasks and reports
  • Coordinate with vendors and contractors as needed
  • Monitor and maintain the front office and lobby area
  • Assist with scheduling appointments and maintaining calendars
  • Other duties may be assigned to meet business needs.

Position Type/Expected Hours of Work:

This is a full-time non-exempt position, 40 hours per week, Monday-Friday from 8:30 am to 5:00 pm with 30 minutes lunch.

Qualifications:

  • At least High School Diploma or GED
  • Previous experience in property management, front desk, or administrative support preferred, at least two (2) years.
  • Strong customer service and communication skills
  • Highly organized with the ability to multitask and prioritize
  • Proficient in Microsoft Office (Teams, Word, Excel, Outlook)
  • Experience with property management software is a plus
  • Bilingual (English/Spanish) preferred
  • Must have transportation.
  • Must be punctual and responsible.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
