The Residential & Commercial Property Supervisor assists in the day-to-day management and operation of assigned residential and commercial properties. The role ensures tenant satisfaction, property upkeep, compliance with company policies, efficient service delivery, and prompt resolution of maintenance and operational issues.
Roles, Responsibilities, Duties
- Supervise daily operations of assigned residential buildings or communities, ensuring a clean, safe, and well-maintained environment.
- Act as the primary contact for tenants regarding maintenance requests, complaints, and general inquiries; ensure issues are addressed promptly and professionally.
- Conduct regular property inspections to monitor the condition of apartments/units, common areas, and building systems; identify and report maintenance or safety issues.
- Coordinate and oversee scheduled maintenance, repairs, and service works by internal teams or external vendors, ensuring quality of workmanship and compliance with company standards.
- Assist in the move-in and move-out process: organize property viewings, coordinate cleaning/repair works, complete inspection checklists, handover/receive keys, and update records.
- Maintain an up-to-date log of tenant requests, complaints, and the status of maintenance works; follow up to ensure closure and tenant satisfaction.
- Support tenant retention initiatives by building positive relationships with residents and ensuring prompt, courteous service.
- Ensure all property management policies, procedures, lease terms, and regulatory requirements are adhered to.
- Assist with rent collection, arrears follow-ups, and the preparation or renewal of lease documentation as directed by the Property Manager.
- Prepare and submit regular reports on property status, maintenance activities, occupancy, and incidents to the Property Manager.
- Supervise and support onsite support staff (cleaners, security guards, etc.) to ensure effective resource deployment and adherence to standards.
- Respond to emergencies such as plumbing leaks, power issues, or other urgent situations, coordinating appropriate response and communication with management and relevant authorities.
- Assist with community or tenant engagement events as required.
Qualification:
- Diploma or Bachelor’s degree in Property Management, Facilities Management, Business Administration, or a related field preferred.
- Certification in property or facilities management is an advantage.
Experience and Competencies:
- 2-4 years of experience in residential property or facilities supervision.
- Good understanding of building operations, maintenance processes, and tenant relations.
- Excellent customer service and communication skills.
- Problem-solving skills and the ability to resolve conflicts diplomatically.
- Strong organizational, time management, and record-keeping abilities.
- Proficiency in MS Office and property management systems.
- Ability to work with diverse teams and manage multiple tasks simultaneously.
- Professional, reliable, and proactive approach.
