Our Resource Assistant position assists several departments within the Firm including Records, Service Center, Reception and provides great experience to enable a move into a Legal Assistant position.
Records Management Functions:
- Maintains and secures records in accordance with established policies and procedures.
- Works directly with attorneys, paralegals, and/or legal assistants to provide Records Management services, inventory control of files, preparing materials for electronic scanning to iManage, and other related tasks.
- Researches location of offsite files upon request.
- Works with personnel to properly and completely identify stored boxes and index their contents; follows up with legal assistants regarding continuing need for space; upon receiving authorization to scan physical files to iManage, processes files and scan to iManage workspace; performs data entry for storage transactions.
- Accesses and maintains the automated IRM system.
- Facilitates circulation of boxes from and to off-site storage vendor; acts as liaison with off-site storage vendor for shredding services.
Legal Assistant Support:
Provide backup Legal Assistant Support for attorneys and legal assistants and when the legal assistant is out of the office. Backup Legal Assistant responsibilities include:
- Edit and procure legal documents and correspondence of legal nature such as summonses, complaints, motions, subpoenas, and various other memoranda.
- Edit and update daily time entries
- Maintain calendar/schedule for assigned timekeepers. This includes assisting attorneys in scheduling and managing client meetings, Service Team meetings/luncheons and any business travel arrangements.
- Transcribe dictation via electronic transcribing unit, or written notes.
- Process conflicts of interest, new business reports and check requests.
- Docket case deadlines in docketing software.
Provide back-up Support for all aspects of the Louisville Service Center. Back-up support will primarily be needed when service center personnel are out of the office for more than 1 day, for example, while the person is on PTO. In rare circumstances, back-up coverage may also be needed in the Lexington office. Service Center responsibilities include:
- Daily mail pick-up, internal delivery and drop-off, managing FedEx or other packages being shipped and/or received;
- Assist with postage for mailings, copies and scanning, making binders, DVDs, thumb drives and/or electronic files, as requested by others;
- Back-up Receptionist for breaks and lunches;
- Purchase of office supplies and amenities.
Job Type: Full-time
Pay: $20.00 - $21.00 per hour
