Position Summary:
Applied CAx, LLC, a premier Siemens Digital Industries Software channel partner, is seeking a Revenue Operations Specialist focused on Services & Support. This role serves as the operational backbone for our professional services, technical support, and training engagements. The ideal candidate will manage the full lifecycle of services revenue—from project setup and time tracking through invoicing and collections—ensuring seamless coordination across Harvest, QuickBooks, and Salesforce.com. This role works in close partnership with our Revenue Operations Coordinator (Deal Desk/Sales) to deliver a unified, accurate revenue operation.
Key Responsibilities:
Services Revenue Management
- Manage the complete services quote-to-cash lifecycle from statement of work (SOW) through invoicing and payment collection
- Set up and maintain projects in Harvest, ensuring accurate budgets, task categories, billing rates, and team member assignments
- Monitor project budgets against actuals in Harvest, flagging overruns or underutilization to project managers and leadership
- Generate and send services invoices through QuickBooks based on Harvest time entries, milestone completions, and contractual billing schedules
- Reconcile Harvest time data with QuickBooks billing records and Salesforce opportunity data to ensure revenue accuracy
Support & Maintenance Operations
- Process and track support contract renewals, ensuring timely invoicing and accurate records in Salesforce and QuickBooks
- Coordinate with technical support teams to track billable vs. included support hours using Harvest
- Manage maintenance and support revenue schedules, ensuring proper recognition and renewal pipeline visibility
- Monitor support utilization metrics and generate reports for leadership on service delivery efficiency
Billing & Financial Administration
- Generate accurate invoices in QuickBooks for professional services, training, and support engagements
- Track payment status, manage collections follow-up, and escalate aging receivables as needed
- Process purchase orders and validate alignment between SOWs, POs, Harvest entries, and invoices
- Support month-end close activities including services revenue reconciliation and accrual calculations
- Maintain clean financial records for audit compliance and reporting
CRM & Systems Administration
- Maintain services-related opportunity and account data in Salesforce.com, including project status, contract terms, and revenue forecasts
- Ensure data integrity across Harvest, QuickBooks, and Salesforce through regular audits and reconciliation
- Build and maintain dashboards and reports in Salesforce to track services pipeline, utilization, and revenue performance
- Support integration workflows between Harvest, QuickBooks, and Salesforce to minimize manual data entry
Process Improvement & Cross-Functional Coordination
- Identify and implement efficiency improvements in services billing, time tracking, and project administration workflows
- Collaborate with the Revenue Operations Coordinator (Deal Desk/Sales) to ensure seamless handoffs between software deals and associated services engagements
- Partner with Professional Services and Solutions Engineering leadership on resource planning, capacity forecasting, and utilization optimization
- Document standard operating procedures (SOPs) for services revenue processes and train team members on systems and workflows
- Report on key metrics including services revenue, utilization rates, project profitability, billing accuracy, and collections performance
Qualifications Required:
- 3+ years in revenue operations, services operations, billing, or project administration roles
- Hands-on proficiency with Harvest (time tracking, project setup, invoicing, and reporting)
- Working experience with QuickBooks (invoice generation, payment tracking, and financial reporting)
- Proficiency with Salesforce.com (opportunity management, reporting, and dashboards)
- Experience managing professional services billing including time-and-materials, fixed-fee, and milestone-based engagements
- Strong attention to detail with ability to manage multiple projects and deadlines simultaneously
- Clear communication skills for cross-functional collaboration with services, sales, finance, and operations teams
- Proficiency with Excel/Google Sheets for data analysis and reconciliation
Preferred:
- Experience in engineering software, manufacturing technology, or CAD/CAM/CAE/PLM industries
- Familiarity with Siemens Digital Industries Software portfolio and partner ecosystems
- Background working with professional services organizations in a technology reseller or consulting environment
- Experience with ASC 606 revenue recognition for multi-element arrangements and services contracts
- Familiarity with Siemens CPQ systems and partner portals
- Track record of building or improving services operations processes from the ground up
What Success Looks Like
- Harvest projects accurately configured within 24 hours of SOW execution with correct budgets, rates, and assignments
- Services invoices generated within 48 hours of billing milestones with accuracy rate above 98%
- Clean reconciliation across Harvest time entries, QuickBooks invoices, and Salesforce opportunity data
- Utilization and profitability dashboards current and accessible to leadership on a weekly basis
- Services and Deal Desk teams operating as a unified revenue operations function with clear handoff protocols
- Collections aging below 45 days with proactive follow-up on outstanding balances
