Sales Administrative Assistant

Doha, Qatar

Sales Support Executive- tasks and targets & KPIs:

A Sales Support professional assists the sales team in achieving their goals by handling administrative, coordination, and customer service tasks. They ensure the smooth operation of sales processes, allowing sales executives to focus on selling and client relationships.

Key Responsibilities:

1.    Administrative Support:

· Prepare quotes, proposals, and sales documents.

· Manage customer databases, sales records, and reports.

2.    Order Processing:

· Process purchases orders and follows up on order status.

· Coordinate with logistics and warehouse teams for timely delivery.

3.    Customer Coordination:

· Respond to client inquiries via email, phone, or chat.

· Provide after-sales support and resolve routine customer issues.

4.    Sales Coordination:

· Schedule meetings, product demos, and client visits for sales staff.

· Track sales targets, KPIs, and team performance.

5.    Documentation & Reporting:

· Maintain sales records, contracts, and invoice tracking.

· Generate sales performance reports for management.

6.    Internal Communication:

· Liaise between sales, marketing, finance, and technical teams.

· Assist with marketing campaigns, promotions, and events.

Targets / KPIs (Key Performance Indicators)

Sales Revenue & Income Targets:

  • 10-Number of Sales Leads Generated weekly

Measure how many qualified leads are provided to the sales team.

  • Response Time to Sales Inquiries

3 days Average time taken to respond to internal or external sales queries.

  • Order Processing Accuracy

Percentage of sales orders processed without errors.

  • Customer Support Tickets Resolved

Number or percentage of customer issues or inquiries resolved within a given time.

  • Sales Documentation Prepared

Timely preparation and delivery of sales proposals, quotations, contracts, and reports.

  • CRM Data Accuracy and Updates

Percentage of sales data correctly entered and maintained in the CRM system.

  • Support for Sales Team

Feedback score from sales team on the support provided.

  • Follow-up Rate

Percentage of follow-ups completed on leads or client communications.

  • Contribution to Sales Targets

Support activities that directly or indirectly contribute to meeting sales targets.

  • Training and Development Participation

Completion of relevant training sessions to improve sales support skills.

Lead Generation Targets:

  • Make a minimum of 20 calls and 20 emails per week to Generate new business meetings for sales team.
  • Prepare & Participate Public & Privet Tenders & RFQ’s with in the time frame.

Qualifications & Skills Required:

Education:

· Bachelor’s degree in business administration, Marketing related field/MBA.

Experience:

· 1-3 Years of experience in Sales Support, customer services or administration.

Skills Required

· Strong organizational and multitasking skills

· Excellent communication (written and verbal)

· Attention to detail and accuracy in work.

· Proficiency in MS Office, CRM, and ERP systems, Odoo.

· Time management and teamwork skills
