Sales Department Admin Assistant

About the Role

We are seeking a highly organized and detail-oriented Sales Department Admin Assistant to support the Sales Manager in day-to-day operations and ensure smooth execution of all sales administrative tasks. This role combines personal assistant duties with responsibility for managing tender submissions, preparing reports, maintaining department documentation, and ensuring data accuracy in our CRM system.

The ideal candidate must have a valid Qatar driving license, access to a personal vehicle, and be fluent in both Arabic and English to effectively handle internal and external communications.

Key Responsibilities

  • Act as a personal assistant to the Sales Manager, managing schedules, communications, and administrative needs.
  • Manage tender and bidding processes, including:
  • Following up on all tender submissions until closure.
  • Preparing and compiling required documents for tender submission.
  • Conducting quality checks on all tenders according to the procedure set by the Sales Manager.
  • Prepare and maintain department reports, statistics, and performance tracking.
  • Review and update CRM data regularly to ensure accuracy and completeness.
  • Organize and maintain department files and documentation for easy access and reference.
  • Prepare presentations, proposals, and other documents as required using Microsoft Office tools.
  • Assist with other sales administrative duties as assigned.

Requirements

  • Proven experience in an administrative or sales support role (experience in bidding/tenders is a plus).
  • Advanced skills in Microsoft Office, especially Excel and Word (knowledge in PowerPoint is an advantage).
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • High attention to detail and accuracy.
  • Excellent communication skills (verbal and written).
  • Fluency in both Arabic and English (spoken and written) is mandatory.
  • Familiarity with CRM systems is preferred.
  • Valid Qatar Driving License (profession on Qatar ID must allow license eligibility).
  • Access to a personal vehicle for work-related travel.
