Sales Administrator- Coordinator

BEME-BONGARD Equipment Middle East is an equipment supplier specialising in the bakery and pastry sector. Exclusive distributor of the Bongard brand. We are present throughout the Middle East region.

We are looking for 1 SALES ADMINISTRATOR-COODINATOR, with the aim of creating a strong team concerned with providing quality service, expertise in our facilities and our after-sales service.

The person must have experience in Sales administration and coordination of the Sales team, and experience in equipment, spare parts, and customer care expertise.

Our activity is that we sell, install, and maintain bakery equipment to a clientele of craftsmen, hotels and supermarkets.

Job description :

Sales secretary duties:

Ø Handling all incoming contacts, in the back office and remotely (telephone, email, post): filtering, answering questions, directing people to the relevant department, processing and drafting letters.

Ø Handling all outgoing contacts with customers, non-customers, prospects and partners.

Ø Managing the schedules and diaries of the manager and sales staff.

Ø Organising internal meetings, preparing agendas and drafting minutes of the sales department.

Administrative support for sales/technical sales staff:

Ø Create and open new customer accounts: enter files from the needs (or drawings to the quotations. You will handle all sales proposals, quotations, orders/contracts, and incidents.

Ø Managing different types of customers: Tenders, Projects, replacements of equipment

Ø Updating and closing customer files: entering all customer information required for delivery and invoicing.

Ø Managing invoices and collections in liaison with the accounting, compliance and outstanding payment.

Ø Admin process related to importation and exportation from France to UAE/ and GCC

Ø In relation between suppliers and forwarders

Customer data management (CRM)

Ø Manage sales , ensuring that agreed deadlines are met and that contractual conditions comply with internal procedures.

Ø Monitors deliveries and settles after-sales complaints, in liaison with the sales, purchasing, production, technical and logistics departments.

Ø Prepares or draws up commercial proposals and price quotations.

Ø Prepares sales files before sales contacts and meetings.

Ø Maintaining customer relations: sales follow-up, incident management (exchanges, returns, credit notes), and reminders for collection.

Ø Administrative support for sales representatives

Ø Feeding and updating the customer and prospect database, filing and archiving files and documents.

Ø Preparing management charts (sales forecasts, sales made, sales not concluded, etc.), and monitoring progress towards targets.

Ø Drawing up and analysing sales statistics.

Ø Carrying out commercial and competitive intelligence (customer portals, public and private market platforms).

Possible tasks:

Ø Sales Office contacts: physical mobility, occasional travel such as exhibitions.

Ø Providing particularly intensive sales support: prospecting in the field, proposing products and additional services, writing product sheets or sales pitches, responding to calls for tender, and managing a showroom.

Ø Attend internal meetings and professional events.

Technical skills:

  • Good knowledge of the company: activities, products, type of customers, competitive environment

  • Good command of IT (Internet, e-mail) and office tools (Word, Excel, PowerPoint)
