We are seeking an organized and detail-oriented Sales Coordinator to provide essential administrative, logistical, and client support to our Sales Team as we expand within the high-end hospitality sector.

Job Summary:

The Sales Coordinator will be the critical link between the Sales Team, internal operations, and our premium clientele. This role focuses on providing comprehensive administrative and logistical support to ensure the smooth execution of sales processes, from initial lead management to final delivery and invoicing. This is a non-commission, salaried position ideal for a professional with strong organizational skills and a focus on operational efficiency and customer service.

Key Responsibilities:

Sales Administration & Support:

  • Manage and maintain the Customer Relationship Management (CRM) system, ensuring all lead statuses, client interactions, sales activities, and forecasts are accurately recorded and up-to-date.
  • Prepare, proofread, and format professional sales proposals, quotations, tender documents, and contracts under the direction of the Sales Team.
  • Coordinate internal resources, including logistics, warehousing, and procurement teams, to ensure timely and accurate product delivery and service implementation for clients.
  • Assist in processing client orders, managing invoicing documentation, and tracking payment status in collaboration with the Accounts department.

Client & Team Communication:

  • Serve as the primary internal point of contact for the Sales Team, assisting with scheduling client meetings, product demonstrations, and site visits.
  • Handle client inquiries via phone and email, providing professional and timely responses regarding product availability, pricing, order status, and general information.
  • Maintain an organized filing system (both physical and digital) for all sales-related documents, client correspondence, and industry knowledge.

Market Knowledge & Product Coordination:

  • Maintain a comprehensive and up-to-date understanding of Daitona's extensive product portfolio (cleaning machinery, chemicals, janitorial supplies) and key brands (e.g., Hygiene System, IPC).
  • Assist the team in preparing materials for presentations and industry events.

Qualifications & Skills:

  • Minimum 2+ years of administrative or coordination experience, preferably within a B2B sales environment or the cleaning/hospitality industry in Dubai.
  • Strong proficiency in CRM software (e.g., Salesforce, HubSpot) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional organizational skills, attention to detail, and a proven ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills in English.
  • A proactive, professional, and service-oriented demeanor.
  • Ability to work effectively both independently and as a supporting member of a busy sales team.
  • Education: Bachelor’s degree preferred.
