Sales Coordinator

Key Responsibilities:Sales & Client Support:

  • Act as a key point of contact for client inquiries, quotations, and order follow-ups.
  • Prepare and issue sales quotations, proposals, and presentations based on client briefs.
  • Coordinate with internal teams (design, production, installation) to ensure client requirements are clearly communicated and understood.
  • Schedule meetings, calls, and site visits for the sales team and maintain updated calendars.

Project Coordination & Tracking:

  • Track ongoing sales projects and ensure timelines, approvals, and deliverables are met at each stage.
  • Maintain and update CRM or project tracking systems with client details, status updates, and communication history.
  • Follow up on pending quotations and assist the sales team in closing deals.
  • Coordinate sample submissions, mock-ups, or test prints when required by the client.

Documentation & Reporting:

  • Prepare accurate sales documentation including purchase orders, job sheets, invoices, and delivery notes.
  • Generate sales reports, pipeline summaries, and project updates for weekly meetings.
  • Maintain organized digital and physical records of client files, contracts, and communications.

Cross-Functional Collaboration:

  • Work closely with the design team to align on creative requirements and technical feasibility of signage and display projects.
  • Liaise with the production and logistics teams to ensure timely execution and dispatch of orders.
  • Support marketing initiatives by providing client feedback and sales insights for upcoming campaigns or new services.

Required Qualifications:

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • 2+ years of experience in a sales support, client servicing, or coordination role, ideally within the signage, print, retail, or creative services industry.
  • Excellent written and verbal communication skills.
  • Strong multitasking, time management, and problem-solving abilities.
  • Client-focused mindset with a high level of professionalism and attention to detail.
