The Sales Coordinator is responsible for maintaining professional relationships with client contacts and delivering timely customer service, correspondence and communication. This position keeps the Sales Team organized by maintaining the CRM, assisting with group and event billing, and coordinating group and event details. This position will work 20-25 hours per week as strictly sales, and take on 10-15 hours per week at the front desk and/or as a banquet "host". Ideal candidate would have hotel and/or sales and event planning experience.
Meeting Space and Banquet Events:
Greet groups as they arrive on property.
Coordinate/assist with the delivery of requested equipment and food for meeting rooms with other departments.
Collect payment and pre-authorization for all events.
Sales Support :
Maintain good rapport with clients. Work closely with other departments to coordinate details, special requests, VIP packages and promotions
Send appropriate collateral, or direct calls to sales management staff as necessary.
Give site tours.
Assist clients/groups with copies of receipts, invoices, etc..
Inform Director of Sales of potential problems or opportunities with clients and progress of special projects.
Coordinate client gifts with Sales & guest recognition programs with Front Office.
Manage group-hotel inventory and input rooming lists. Advise Director of Sales on any group cut off dates.
Create and maintain trace system for group 'thank you' gifts once group checks out.
Close out month-end house accounts with the assistance of the Assistant General Manager.
Responsible for maintaining and building all group blocks, special corporate/local accounts in hotels PMS system.
Assisting Director of Sales with daily email prospecting.
Create, maintain, and promote hotel through Social Media sites like (Instagram, Facebook, etc.).
Administrative:
Prepare and send out all group contracts, proposals and rate agreements.
Responsible for organizing and maintaining all records and files for the sales team, including group contracts, rate agreements, group resumes, etc..
Maintain and replace office supplies as needed, including sales collateral.
Additional Requirements:
Must have a reliable form of transportation.
Must be willing to work weekends as needed.
Other duties as assigned by management.
Job Type: Full-time
Pay: $19.00 - $20.00 per hour
