Job Summary
We are seeking a dynamic and detail-oriented Event Coordinator to join our team. The ideal candidate will have a passion for creating memorable experiences and possess strong organizational skills. This role involves planning, executing, and managing various events, ensuring that every detail is attended to for a seamless experience. The Event Coordinator will work closely with clients to understand their needs and preferences, while also collaborating with vendors and team members to bring each event to life.
Duties
- Plan and coordinate all aspects of events, including logistics, catering, venue selection, and guest services.
- Develop and manage event budgets, ensuring all expenses are tracked and reported accurately.
- Negotiate contracts with vendors and suppliers to secure the best rates and services.
- Implement effective marketing strategies for events, including event marketing and upselling opportunities.
- Provide exceptional customer service to clients before, during, and after events.
- Oversee event setup and breakdown, ensuring all equipment is in place and functioning properly.
- Collaborate with the hospitality team to ensure high-quality guest experiences throughout the event.
- Manage timelines effectively to ensure all deadlines are met.
- Utilize strong communication skills to liaise with clients, vendors, and team members.
Requirements
- Proven experience in event planning or management with a strong understanding of hospitality industry standards.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Strong negotiation skills for vendor contracts and pricing agreements.
- Proficiency in budgeting and financial management related to event planning.
- Experience in marketing events or fundraising initiatives is highly desirable.
- Background in catering or restaurant/hotel experience is a plus.
- Exceptional time management skills with the ability to work under pressure in fast-paced environments.
- Strong communication skills, both written and verbal, for effective client interactions.
