Sales Operations Coordination
- Receive new order requests from the Sales Team.
- Prepare and send accurate quotations based on product specifications and pricing.
- Coordinate with the Sales Team (via WhatsApp or other communication channels) to confirm customer approval of quotations.
- Verify payment status for all confirmed orders before forwarding them to the Manufacturing Team.
- Communicate approved and paid orders to the Manufacturing Team for assembly and packing.
- Maintain detailed and up-to-date records of all quotations, orders, payments, and internal handoffs for audit and tracking purposes.
- Ensure full transparency with customers throughout the order process by:
- Providing regular updates on the current status of their order.
- Sending necessary documents such as invoices, bills, and payment receipts.
- Sharing tracking IDs and dispatch details once orders are shipped.
- Promptly responding to any customer queries regarding order status or delivery timelines.
Inventory Management
- Monitor inventory levels of raw materials, packaging supplies, and finished goods.
- Coordinate with the Procurement Team for restocking based on forecasted and actual sales.
- Update inventory databases and systems to ensure real-time stock accuracy.
- Conduct regular stock audits and reconcile any discrepancies.
- Work closely with the Manufacturing Team to align production schedules with available inventory.
- Identify and flag low-stock or out-of-stock items early to prevent production or delivery delays.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- 2+ years of experience in Sales Operations, Inventory Management, or a similar coordination role.
- Strong proficiency in MS Office (especially Excel), inventory software (e.g., Zoho, Odoo, or similar), and communication tools (e.g., WhatsApp, email).
- Excellent organizational, communication, and follow-up skills.
- Strong attention to detail and ability to manage multiple priorities.
Preferred Skills:
- Experience in a product-based or manufacturing company.
- Familiarity with order management and inventory platforms.
- Knowledge of basic accounting or payment tracking is a plus.
