GENERAL POSITION SUMMARY
The Sales & Marketing Assistant provides day-to-day support for sales, marketing and client services functions. This role helps ensure projects, campaigns, and proposals are polished and delivered on time. This role assists with content creation, CRM upkeep, proposal and contract preparation, reporting, event/webinar coordination, and general project management tasks in Asana.
JOB SCOPE
The Sales & Marketing Assistant works closely with the Marketing Specialist and collaborates across sales, operations, and client services teams. This role provides hands-on support to ensure deadlines are met, projects stay on track, and deliverables reflect a high level of quality.
Part-time: up to 20hrs per week
ESSENTIAL FUNCTIONS
Marketing
- Create ads, flyers, newsletters, and other marketing materials in Canva
- Build and refine PowerPoint presentations for sales, marketing, and other company needs
- Monitor Asana projects, ensuring tasks stay on schedule with timely reminders to the team
- Regularly audit and maintain links across campaigns, ensuring accuracy and functionality
- Keep shared drives updated with the latest marketing collateral, sales decks, and case studies
- Gather competitor insights, industry trends, SEO keyword data, and other research to support marketing and procurement initiatives
- Post and schedule content across social media platforms, email newsletters, and campaigns
- Draft blogs, social media captions, and ad copy (often with guidance/templates provided)
- Coordinate logistics, create invitations, manage registrations, and provide online support during webinars
- Track and report website traffic, email performance, ad spend, and social media engagement
Sales
- Enter, update, and track leads in the CRM to maintain accurate sales pipelines
- Keep contact records, opportunities, and deal stages up to date
- Draft follow-up emails, schedule calls/meetings, and send timely reminders to prospects an clients
- Assist with creating and formatting sales proposals, preparing presentation decks, and ensuring materials are polished and client-ready
- Generate weekly/monthly sales reports on pipeline activity, closed deals, and conversion rates
- Assist with preparing client contracts and invoices, tracking signatures and payments
- Respond promptly to inbound inquiries and provide professional, timely support
Misc Roles & Responsibilities
- Assist with creating and maintaining sales and marketing SOPs
MARGINAL FUNCTIONS
- Keeps team and management updated on assignment progress using company provided tools such as Slack, calendars, Asana, etc.
- Respond promptly to communications, typically within 30 minutes for internal team messages and within 24 hours for client or external inquiries
- Provide occasional support for planned trainings, conferences, or client events (nominal travel required)
- Performs other duties as assigned
KNOWLEDGE, SKILLS, ABILITIES AND OTHER REQUIREMENTS
Required
- 1–3 years of experience in sales support, marketing coordination, or administrative support
- Familiarity with Slack, Asana, and Canva
- High-level proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint
- Exceptional communication skills—verbal, written, and visual
- A strong eye for visual layout and attention to detail
- Self-motivated, highly resourceful, and quick to learn new tools or processes
- Comfortable working independently in a remote team while also working collaboratively with the team
- Ability to manage multiple tasks and deadlines without dropping the ball
- A proactive communicator who asks questions, seeks clarity, and follows through
Bonus Points If You Have:
- Experience with email marketing platforms (e.g., GoHighLevel, ActiveCampaign, ConvertKit, etc.) and CRMs (HubSpot, Salesforce, or similar)
- Worked in a small business or startup environment
- Familiarity with sales proposal creation
- Experience in analytics or reporting
- Experience in using AI to improves systems and processes

- This position has no supervisory responsibility
