Position Overview
reporting Directly to the Director of Sales & Marketing (DOS) and Sales Manager, this role is a vital part of our sales and guest relations team, The position is responsible for delivering friendly, professional assistance and accurate information to guests, ensuring a seamless and positive customer experience. You will also provide essential support to the Sales Manager in preparing charter details, coordinating event logistics, and managing client communications.
Given the nature of our business and the excitement of hosting events and tours, this role requires flexibility, including availability to work weekends, to meet the needs of our guests and partners.
The day-to-day responsibilities include but are not limited to:
- Phone Coverage - Ensure that each guest receives outstanding guest service by providing a guest friendly experience and solid product knowledge.
- Assist in handling all requests and inquiries by phone or email promptly.
- Manage the efforts and activities of the sales department for groups and venue rentals in alignment with corporate revenue goals and objectives.
- Act as the department’s main communication hub, ensuring the flow of messages and information both internally and externally between customers and team members.
- Ensure that groups/events adhere to terms & conditions outlined in contracts.
- Maintain meticulous records for reference and reporting.
- Meet deadlines of assigned projects
- Maintain and manage content calendar
- Develop, prepare, and deliver sales materials, trade show exhibits, conference
appearances, and other promotional programs
- Create content/content writing including but not limited to; newsletters, blogs, giveaways, contests, competitions, influencer partnerships, business partnerships, photos, videos etc. to increase social media engagement, which in turn will increase website visits, bookings, and ultimately the overall revenue
- Managing social media presence and growing communities and advocates on all primary platforms: (Facebook, Instagram, TikTok, Youtube, Twitter(X), LinkedIn, Google Postings)
- Replying to comments, inquiries, questions, and interactions on all primary platforms.
- Reply to all guest Reviews for both company brands and OTA's
- Creating paid digital advertisements for Facebook, Instagram, and Google
- Manage the back end of the website; content, meta descriptions, and SEO best practices.
- Graphic designing as required, ensuring tone and style align with brand standards.
- Full participation within Management Meetings, with on-going presentation of new Sales and Marketing information. Facilitating brainstorming with all departments for new business promotions and ideas to enhance our brand awareness and customer loyalty.
- Continued internal/external analysis of overall business for further improvements.
- Manage Googles Ads Campaign and Meta descriptions
- Must partake in essential charters that present an opportunity for capturing content for socials
- Analyze and input Keyword reports for websites and content SEO
- Work with our Head of IT on content promotions from time to time
- Send a weekly end of day report of all social posts posted that week with CTA links
- Manage and update Call Rail excel sheet daily
- Respond to any online inquiries via TIDIO

- Must have a passion and drive to create not just videos for the company but content that captures the essence an value of the brand that creates genuine engagement from the audience
- Ability to manage company CRM platform
- A dedicated customer service professional that is committed to the highest quality standards
- Ability to fluently speak, read, write and understand English. Bilingual (Spanish) preferred.
- Able to communicate in a friendly and professional manner with all clients, team members and management.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Knowledge of company products, services, and hours of operation.
- High level of proficiency with Outlook, Excel, Word, PowerPoint, Google Tools
- WordPress, Google Analytics, Facebook Business Suite, Creator Studio, and MailChimp.
- Ability to manage multiple projects independently
- Ability to express concerns and ideas to the immediate supervisor
- Ability to manage internal group chats, WhatsApp preferred.
- Knowledge of various social media sites (Instagram, Facebook, TikTok, Youtube, Twitter(X), LinkedIn, Google Postings)
- Solid negotiation, conflict resolution, and people management skills
- Excellent teamwork and team building skills.
- Able to build and maintain lasting relationships with key business partners and customers.
- Ability to create and edit sales materials and presentations.
Education and Experience
- High school diploma or equivalent.
- Bachelor’s degree in hospitality & Marketing or similar field preferred.
- Previous experience with Microsoft Word and Excel preferred.
Weekly Work Schedule
- Flexible
- 9am - 5pm. Sunday-Thursday
- The schedule will be flexible when content is needed for evening or day off events
