About the Role
We are seeking a reliable, detail-oriented Scheduling & Billing Coordinator to join our outpatient therapy practice. This position plays a key role in welcoming new clients, ensuring smooth scheduling, coordinating care, and supporting billing processes — Monday–Friday. This position is approximately 20-25 hours per week. Key Responsibilities
Intake & Scheduling Duties
- Respond to new client inquiries by phone, email, or web form promptly, professionally, and compassionately.
- Schedule intake and follow-up appointments according to clinician availability, client preferences, and insurance coverage.
- Gather and accurately enter client demographic, clinical, and insurance information into the EHR system.
- Verify insurance eligibility and benefits before services; communicate financial responsibilities to clients.
- Ensure all intake paperwork and required documentation are completed before the first appointment.
- Manage provider calendars, rescheduling or filling cancellations to optimize service delivery.
Client Care Coordination Duties
- Serve as a supportive point of contact for clients throughout their care experience.
- Monitor attendance and follow up with clients who cancel, no-show, or need help engaging in services.
- Coordinate with internal and external providers to support continuity of care and referrals.
- Communicate client needs or concerns to the clinical team while maintaining confidentiality.
- Support quality-of-care initiatives and promote a trauma-informed, client-centered experience.
Billing & Administrative Duties
- Assist with collecting co-pays and outstanding balances; follow up on unpaid accounts.
- Submit billing-related documentation (e.g., encounter forms, superbills) to the billing team.
- Help resolve minor billing issues or discrepancies with the billing department.
- Provide basic billing support to clients, including clarifying insurance coverage and payment options.
- Maintain accurate records of billing communications and insurance documentation.
Qualifications
- High school diploma or equivalent required; Associate’s in healthcare or human services preferred.
- 1–2 years of experience in behavioral health, medical office, or customer service.
- Knowledge of EHR and scheduling systems.
- Experience with insurance verification and basic billing processes preferred.
- Excellent communication, organization, and multitasking skills.
- Compassionate, client-focused, and able to maintain confidentiality under HIPAA guidelines.
