Scheduling Coordinator (Dental Office)

Job Overview
We are seeking a proactive and detail-oriented Scheduling Coordinator to join our dynamic dental office team. In this vital role, you will serve as the central point of contact for patient scheduling, appointment management, and administrative support. Responsibilities

  • Manage all aspects of patient appointment scheduling using various EMR (Electronic Medical Records) systems such as Dentrix to ensure timely and accurate bookings.
  • Verify insurance coverage and perform insurance eligibility checks to facilitate smooth patient intake processes.
  • Coordinate with dental providers and staff to optimize daily clinic schedules, minimize cancellations, and maximize patient flow.
  • Handle incoming calls with professional phone etiquette, address patient inquiries, reschedule appointments, and provide appointment reminders.
  • Maintain comprehensive medical records by reviewing documentation for accuracy and completeness in compliance with HIPAA regulations.
  • Assist with insurance verification, billing support, and collection of copayments or outstanding balances related to dental procedures.
  • Support front desk operations by managing multi-line phone systems, filing patient records, and performing data entry tasks such as 10 key typing and documentation review.

Skills

  • Extensive experience with EMR systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth is highly preferred.
  • Strong knowledge of dental terminology, medical coding (ICD-10/ICD-9/CPT), and health information management practices.
  • Proficiency in Microsoft Office Suite including Word and Excel for documentation and scheduling purposes.
  • Excellent communication skills with the ability to provide exceptional patient service in a bilingual environment if applicable.
  • Demonstrated clerical experience in a medical or dental office setting with familiarity in front desk operations and office management.
  • Knowledge of insurance verification processes, medical billing procedures, and HIPAA compliance standards.
  • Ability to navigate multiple computer systems efficiently while maintaining attention to detail in a fast-paced environment.
  • Prior clinic or dental office experience is preferred; familiarity with dental software such as Dentrix or Eaglesoft is a plus.
