This role involves managing complex schedules, coordinating projects, handling confidential matters, and supporting the Director in decision-making, while leveraging technical and analytical knowledge to optimize office operations and strategic initiatives.</p><p><b>KEY RESPONSIBILITIES</b></p><p><b>Executive Support &amp; Administration</b></p><ul><li>Manage and coordinate the Director&rsquo;s calendar, meetings, and appointments efficiently.</li><li>Prepare, edit, and review correspondence, reports, presentations, and meeting materials.</li><li>Handle sensitive and confidential information with discretion.</li><li>Conduct research and prepare business reports, financial summaries, and strategic insights.</li><li>Assist with project management and ensure timely completion of strategic initiatives.</li><li>Provide personal support to the Director, including private scheduling and planning.</li></ul><p><b>Travel &amp; Event Coordination </b></p><ul><li>Arrange and manage domestic and international travel, including itineraries, accommodations, and logistics.</li><li>Plan and execute corporate events, leadership meetings, conferences, and team building activities.</li><li>Liaise with vendors, service providers, and internal teams to ensure smooth operations.</li></ul><p><b>Office &amp; Operations Management</b></p><ul><li>Oversee daily office operations to ensure efficiency and productivity.</li><li>Manage budgets, expenses, and office supply inventories.</li><li>Implement and maintain office procedures, systems, and policies.</li><li>Supervise and support administrative staff, including training and onboarding.</li></ul><p><b>Stakeholder Communication </b></p><ul><li>Serve as the main point of contact between the Director, internal teams, clients, and external partners.</li><li>Facilitate communication across teams and stakeholders to streamline workflows.</li><li>Prepare agendas, meeting briefs, minutes, and follow-ups for executive sessions.</li></ul><p><b>Continuous Improvement &amp; Strategic Initiatives </b></p><ul><li>Own and execute special projects, including operational improvements, corporate initiatives, and strategic programs.</li><li>Support corporate communications, leadership calls, webinars, and virtual town halls.</li><li>Optimize administrative workflows and implement tools to enhance efficiency.</li></ul><p><b>QUALIFICATIONS</b></p><p><b>Education </b></p><ul><li>MBA in Finance or Business preferred &bull; Master&rsquo;s in Correspondence advantageous</li><li>Bachelor&rsquo;s degree in Commerce, Psychology, Business Administration, or related field</li></ul><p><b>Experience </b></p><ul><li>5+ years supporting C-level executives or Directors in multinational or technical environments</li><li>Project management and business analysis experience preferred</li><li>Proven experience in office management, corporate travel management, and event coordination</li></ul><p><b>Technical Skills </b></p><ul><li>Proficiency in MS Office (Excel, Word, PowerPoint, Outlook), Teams, Zoom, Asana, Salesforce, and project management tools</li><li>Technical knowledge and understanding of business, finance, and operational processes</li><li>Familiarity with corporate communication tools and travel booking systems</li></ul><p><b>Communication &amp; Language Skills </b></p><ul><li>Multilingual; fluent in English and business language</li><li>Strong business communication skills for internal and external stakeholder engagement</li></ul><p><b>Core Competencies </b></p><ul><li>Highly organized, proactive, and detail-oriented</li><li>Able to work independently and handle multiple priorities simultaneously</li><li>Strong analytical, problem-solving, and decision-making skills</li><li>Professional integrity and discretion in all dealings</li><li>Fluent in business language and capable of translating complex instructions into actionable tasks</li><li>Successfully organized international conferences and corporate events with 200+ participants.</li><li>Executed strategic projects and corporate initiatives, optimizing workflows and office efficiency.</li><li>Provided extensive support in executive decision-making, business reporting, and project coordination.</li></ul><p>Job Type: Full-time</p><p>Pay: From QAR4,000.00 per month</p><p>Ability to commute/relocate:</p><ul><li>Doha: Reliably commute or planning to relocate before starting work (Preferred)</li></ul><p>Application Question(s):</p><ul><li>Are you multi-lingual?
