The Position:

Positive Adventures is hiring an extremely organized full-time Seasonal Program Coordinator for our Outdoor Education Team. This person is highly flexible and thrives working in a creative, entrepreneurial, fast-paced environment.

Our ideal candidate would be a great fit with our company culture and be detail-oriented, tolerant, not easily distracted, and able to manage multiple tasks while meeting deadlines. We are looking for someone who works well with the team but can easily transition to work independently, oftentimes anticipating and completing tasks prior to them being assigned. They must possess the ability to clearly communicate not only face-to-face but also electronically via email and telephone with multiple people, such as clients, teammates, and vendors.

The standard work schedule for this role is Monday through Friday, with occasional peak season overtime on weekends dedicated to preparing equipment for upcoming programs. This is a seasonal position, spanning from early February to mid-November, with late November, December, and January designated as off. The role includes year-round benefits and requires on-site presence in the Santa Cruz, California, location.

Job Function/Administrative Duties:

Reports to the Director of Programs

Program Coordination & Logistics: 40%

Provide all components of operations for school-based outdoor education trips

  • Creation of schedules and program plans to ensure safety and standards for staff and client needs
  • Curriculum design goal development and implementation
  • Organization of program-specific paperwork
  • Responsible for all pre and post-outdoor education program logistics, including:
  • Program pack-outs and gear quality control
  • Loading and unloading trucks of gear for programs
  • Creating program pack-out lists and pulling the necessary gear
  • Food buy generating menus, food lists, and meal quality control for programs
  • Establish staffing numbers and support the Director of Program with staffing
  • Risk management evaluation in conjunction with the Director of OE
  • Vehicle rental reservations
  • Accommodations reservations
  • Vendor reservations
  • Processing post-program paperwork
  • Staff evaluations
  • Incident reports
  • Client feedback

School Client Management 25%

Collaborate directly with school contacts to ensure seamless operational processes.

  • Develop and manage school preparation guides and student participant packets.
  • Administer the K12 Online system
  • Organize all participant paperwork, including medical and waiver forms
  • Administer medical follow-up information as needed
  • Monitor client intake forms.
  • Partner with the sales team to cultivate school accounts, supporting both existing and new programs.
  • Conduct debrief meetings with clients to maintain quality assurance.

Field Staff Oversight: 15%

  • Coordinate pre- and post-trip Course Director information and debrief sessions to ensure quality preparedness and growth.
  • Conduct field visits to support staff and ensure high-quality client outcomes

Vendor Relationships: 10%

  • Vendor Vetting, Bookings, Reservations, and Compliance
  • Ensure that all vendors meet Positive Adventures standards
  • Keep all documents current
  • Maintain positive relationships with vendors, deliver feedback as needed

Program gear management and organization: 10%

  • Work in conjunction with the Warehouse Coordinator, Logistics Coordinators, and Course Directors to ensure successful and efficient pack-outs and food buys, and ensure equipment quality and organization meet our standards to set our field team up for success.

Necessary Minimum Qualifications:

  • Personality fit with our team and belief in our core values
  • Ability to manage multiple projects and meet multiple deadlines
  • Detail-oriented, while also keeping the big picture in mind.
  • Excellent communication skills, including writing, proofreading, and speaking.
  • Ability to manage multiple projects and work assignments.
  • Excellent interpersonal skills, both in person and by phone, with positive professionalism.
  • Fantastic customer service ethic and high expectations for quality.
  • Minimum of 1 year of experience working in the outdoor industry.
  • Minimum of 2 years of experience with office administrative management or coordinating events.
  • Strong computer skills and experience with G-Suite for email, calendar, and file management
  • Bachelor’s degree preferred; significant work experience can substitute for the degree.
  • Ability to commit to two years of work
  • Flexible schedule during peak seasons, mostly working Monday through Friday, with occasional overtime and weekend work required.
  • Must have a valid driver’s license and a clean driving record
  • Must be able to lift up to 30-40lbs consistently throughout each day
  • Must reside near one of the Positive Adventures physical locations.

Compensation:

$26.50 per hour, seasonal (Feb through mid-Nov), full-time up to 40 hours per week. Seasonal overtime and occasional weekends required. Benefits include annual health, vacation, wellness stipend, a significant year-end bonus, and hybrid work flexibility.
