- Operate multi-line phone systems to handle incoming calls efficiently, directing inquiries to the appropriate departments or personnel.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software tools.
- Organize and file documents systematically, ensuring easy retrieval and compliance with company policies.
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping.
- Assist with calendar management for executives or team members, scheduling appointments, meetings, and conference calls with precision.
- Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating professional phone etiquette and communication skills.
- Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence to ensure clarity and accuracy.
- Coordinate office supplies procurement and inventory management to keep the workspace fully equipped.
- Support office management activities to streamline daily operations and improve overall efficiency.
<Skills>
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry platforms.
- Familiarity with QuickBooks for bookkeeping tasks is highly desirable.
- Strong multi-tasking abilities with effective time management skills to prioritize workload efficiently.
- Exceptional customer service skills complemented by professional phone etiquette and communication abilities in both bilingual (if applicable).
- Experience managing multi-line phone systems and front desk operations in busy office environments.
