Job Summary
We are seeking an energetic and highly organized Secretary to join our dynamic team! In this vital role, you will serve as the first point of contact for our office, ensuring smooth daily operations through exceptional administrative support. Your proactive approach, combined with excellent communication skills and a knack for multitasking, will help keep our office running efficiently. Whether managing schedules, handling correspondence, or supporting various departments, your enthusiasm and attention to detail will make a positive impact every day.

Duties

  • Manage Payroll, Employee scheduling, Sales tax reporting, Hospitality tax reporting, Inventory ordering, and inventory management.
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy
  • Schedule appointments, coordinate calendars, and manage meeting logistics for staff and management.
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations
  • Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative functions
  • Provide customer service support by assisting clients or visitors with inquiries and ensuring a positive experience

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping using QuickBooks or similar software
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Strong typing skills combined with attention to detail for proofreading documents accurately
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is also valued
  • Demonstrated customer service aptitude with professional phone etiquette and interpersonal skills

Pay: $13.00 - $17.00 per hour
