Key Responsibilities:

  • Manage daily office operations, including handling calls, emails, and correspondence
  • Prepare, draft, and format official letters, reports, and documents
  • Maintain and organize project files, contracts, and company records
  • Coordinate with suppliers, subcontractors, and clients regarding documentation and follow-ups
  • Assist in preparing LPOs, RFQs, invoices, and other project-related documents
  • Schedule meetings, site visits, and appointments for management
  • Handle incoming and outgoing documents (courier, emails, submissions)
  • Maintain confidentiality of company information and documents
  • Support accounts/admin team with basic documentation and filing
  • Follow up on pending documents such as trade licenses, permits, and approvals

Requirements:

  • Proven experience as a Secretary in a contracting or construction company
  • Strong knowledge of administrative and office procedures
  • Familiarity with construction documents (LPO, RFQ, BOQ, invoices, etc.)
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Ability to work under pressure and meet deadlines
