- Provide full administrative and secretarial support to project consultants and management team
- Prepare, format, and manage project-related documents, reports, letters, and correspondence
- Maintain proper document control systems (incoming/outgoing documents, drawings, submittals)
- Coordinate meetings, prepare agendas, and record minutes of meetings (MoM)
- Handle email management, filing systems, and office documentation (digital and physical)
- Liaise with clients, contractors, suppliers, and internal departments professionally
- Monitor project deadlines and assist in tracking project progress documentation
- Manage office supplies and general administrative tasks
Accounts & Finance Responsibilities:
- Assist in preparing invoices, payment applications, and tracking receivables/payables
- Handle petty cash management and expense tracking
- Prepare basic financial reports and summaries
- Coordinate with the accounts department for billing, payments, and reconciliations
- Maintain accurate financial records and filing of accounting documents
- Support payroll processing and timesheet monitoring (if required)
- Ensure compliance with company financial procedures and documentation
Skills & Qualifications:
- Proven experience as a secretary, document controller, or admin assistant in construction/consultancy
- Basic knowledge of accounting principles and financial processes
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with document control systems
- Strong organizational and multitasking skills
- Good communication and interpersonal skills
- Attention to detail and ability to handle confidential information
