We are seeking a dynamic and highly organized Secretary to join our team! Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi-line phone systems, handle incoming calls, transfer messages, and provide outstanding customer service
  • Maintain accurate appointment scheduling and calendar management for executives and team members
  • Perform data entry, filing, and document proofreading to ensure all records are current and error-free
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative functions
  • Support office management duties such as supply inventory, mail distribution, and organizing files
  • Assist with bookkeeping tasks including basic bookkeeping and financial record keeping when needed

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and computer literacy
  • Strong phone etiquette with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Experience in medical or dental receptionist roles is advantageous but not required
  • Personal assistant or administrative experience that demonstrates reliability and attention to detail
  • Ability to type quickly while maintaining accuracy; proofreading skills are essential
