Duties

Duties and Assignments

  • Receives students as they arrive; Ensure that students proceed to the cafeteria and put away their lunch boxes.
  • Answers the phone, handles correspondence and takes and distributes messages
  • Types, prepares and collates reports
  • Files
  • Manages databases (Gradelink for attendance and other reports).
  • Takes minutes in faculty meeting then disseminates meeting notes to teachers via email.
  • Administers first aide and prescription medication to students for the purpose of providing emergency or necessary care in accordance with school requirements.
  • Compiles data from a variety of sources (e.g. calendars, meetings, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Greets all incoming visitors for the purpose of ensuring that guests sign in/out as required.
  • Evaluates situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/ or directing to appropriate personnel for resolution.
  • Ensures that school records and documentations are received from previous schools and parents including birth certificates, shot records, etc.
  • Maintains a variety of computerized and manual records, i.e., files, department databases (e.g. registration packets, rosters/listings, calendars, outstanding supply orders, etc.) for the purpose of documenting activities, providing reliable information and complying with school requirements.
  • Maintains and orders inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items’ availability.
  • Performs record keeping and general clerical functions (e.ge. scheduling, copying, faxing, mailings, Cumulative records, etc.) for the purpose of providing information and/or materials as needed.
  • Take and upload pictures and keep social media platforms updated after approval
  • Copies a variety of reports and written materials (e.g. correspondence, agendas, minutes, parent/student handbook, programs, master calendar, etc.) for purpose of documenting activities, providing written reference.
  • Processes documentation and materials (e.g. mail, supplies, registrations, collections, work orders, forms, field trip forms, student’s database updates, requisitions, travel requests, etc.) for the purpose of dissemination information to appropriate parties for action.
  • Responds to inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required
  • Supports Principal and other administrative personnel for the purpose of assisting with administrative functions.
  • All other duties as assigned by the Principal

Qualifications

  • Must be a Christian
  • Proven experience in an office environment or clerical role with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Effective communication skills
  • Previous experience working as a receptionist or medical/dental receptionist is advantageous
  • Knowledge of office management procedures including filing systems, calendar management, and phone etiquette
  • Ability to handle multiple priorities efficiently while maintaining professionalism under pressure
