Secretary/PA to the Owner/GM - Preferably with Real Estate Background
We are seeking a highly organized and proactive Female Secretary with a background in Real Estate, Construction, or Maintenance to join our team in the UAE.
Key Responsibilities:
- Office Management: Organize office schedules, meetings, and appointments, ensuring seamless operations.
- Administration: Oversee office administration tasks including document management, coordinating schedules, and liaising with various departments.
- Executive Support: Assist and support high-level executives and management with various administrative duties.
- Family Support: Manage personal matters for the owner’s family, including personal arrangements and bookings.
- Correspondence Handling: Prepare, manage, and handle official correspondence, reports, and documents.
- Document Filing: Maintain and organize both physical and digital filing systems for easy access and reference.
- Vehicle Maintenance: Schedule and manage service/maintenance bookings for the owner’s personal and company vehicles, including drop-offs, pick-ups, and payments.
- Travel & Hotel Coordination: Organize travel arrangements, hotel bookings, and manage related tasks when required.
- Meetings: Take minutes at meetings and ensure distribution to relevant parties.
- Confidentiality: Handle sensitive documents and information with discretion and professionalism.
- Liaise with Other Departments: Provide administrative support as needed across departments.
- Family Coordination: Assist with family-related tasks such as managing travel, banking, hotels, and property-related matters.
Requirements:
- Min 5 years of experience in UAE as a Secretary cum Administrative Assistant
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills in English; Arabic is a plus.
- Exceptional organizational and time-management skills.
- Ability to multitask and thrive under pressure.
- Discretion and professionalism when handling confidential information.
- A Bachelor’s Degree in Business Administration or a related field is preferred.
Salary Range: AED 5,000 - AED 6,000
