Secretary & Sales Admin Responsibilities1. Executive & Administrative Support
- Manage schedules, appointments, and meetings for management.
- Prepare agendas, take meeting minutes, and circulate action items.
- Draft, edit, and organize correspondence, reports, and presentations.
- Maintain organized filing systems for company records and documents.
- Handle confidential information with professionalism and discretion.
2. Sales Administration
- Prepare quotations, sales invoices, delivery notes, and related documents.
- Ensure accuracy of client orders and follow up with relevant departments (warehouse, logistics, finance).
- Record and update sales transactions in ERP system.
- Track pending invoices, collections, and payment follow-ups.
- Coordinate with the sales team regarding product availability, client requirements, and after-sales support.
3. ERP & Reporting
- Maintain accurate sales, expenses, and client data in the ERP system.
- Generate ERP reports for management review (sales performance, pending payments, stock updates).
- Create and update Google Sheets for tracking leads, deals, rentals, commissions, or sales growth.
- Use formulas, pivot tables, and reporting tools to analyze data and support decision-making.
4. Finance & Documentation Support
- Assist in recording petty cash, reimbursements, and small expenses.
- Monitor client payments, outstanding balances, and prepare collection reminders.
- Support finance team with reconciliations, receipt vouchers, and invoice logs.
5. Communication & Coordination
- Act as liaison between management, sales team, and other departments.
- Draft and circulate memos, announcements, and policy updates.
- Communicate with clients for follow-ups on quotations, orders, and payments.

Pay: AED3,000.00 - AED3,500.00 per month
