Job Title: Secretary to the General Manager
Reports To: General Manager
Job Summary:
The Secretary to the General Manager provides comprehensive administrative and executive support to the General Manager, ensuring the smooth and efficient operation of the Executive Office. The role requires a high level of professionalism, confidentiality, organizational skills, and the ability to manage multiple priorities effectively.
Key Responsibilities:
- Provide full administrative and secretarial support to the General Manager.
- Manage and organize the General Manager’s calendar, schedule meetings, appointments, and travel arrangements.
- Prepare correspondence, reports, presentations, and other documents on behalf of the General Manager.
- Handle incoming and outgoing communications, ensuring timely and accurate responses.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Coordinate interdepartmental communication and ensure the General Manager is informed of all relevant matters.
- Assist in preparing meeting agendas, recording minutes, and following up on action items.
- Screen phone calls, emails, and requests; prioritize issues requiring the GM’s attention.
- Maintain filing systems, both electronic and manual, ensuring documents are easily accessible and properly organized.
- Support the organization of corporate events, meetings, and executive visits as required.
- Liaise with internal departments, clients, and external partners on behalf of the General Manager.
- Perform other administrative duties as assigned to support the smooth functioning of the Executive Office.
Requirements:
- Minimum 2–4 years of experience as an Executive Secretary, Personal Assistant, or similar role, preferably in an F&B, hospitality, or corporate environment.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks and work under pressure.
- High level of discretion, integrity, and professionalism.
- Strong attention to detail and proactive approach.
