Job Title: Secretary to the General Manager

Reports To: General Manager

Job Summary:

The Secretary to the General Manager provides comprehensive administrative and executive support to the General Manager, ensuring the smooth and efficient operation of the Executive Office. The role requires a high level of professionalism, confidentiality, organizational skills, and the ability to manage multiple priorities effectively.

Key Responsibilities:

  • Provide full administrative and secretarial support to the General Manager.
  • Manage and organize the General Manager’s calendar, schedule meetings, appointments, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents on behalf of the General Manager.
  • Handle incoming and outgoing communications, ensuring timely and accurate responses.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Coordinate interdepartmental communication and ensure the General Manager is informed of all relevant matters.
  • Assist in preparing meeting agendas, recording minutes, and following up on action items.
  • Screen phone calls, emails, and requests; prioritize issues requiring the GM’s attention.
  • Maintain filing systems, both electronic and manual, ensuring documents are easily accessible and properly organized.
  • Support the organization of corporate events, meetings, and executive visits as required.
  • Liaise with internal departments, clients, and external partners on behalf of the General Manager.
  • Perform other administrative duties as assigned to support the smooth functioning of the Executive Office.

Requirements:

  • Minimum 2–4 years of experience as an Executive Secretary, Personal Assistant, or similar role, preferably in an F&B, hospitality, or corporate environment.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and work under pressure.
  • High level of discretion, integrity, and professionalism.
  • Strong attention to detail and proactive approach.
