Secretary to General Manager – Civil Contracting

We are looking for a highly organized and proactive Secretary to support the General Manager of a leading civil contracting company. The ideal candidate must have prior experience in the construction industry and be able to manage administrative tasks, coordinate communications, and support daily operations efficiently.

Key Responsibilities

  • Provide comprehensive administrative support to the General Manager
  • Manage and organize schedules, appointments, meetings, and travel arrangements
  • Prepare letters, reports, minutes of meetings, and other official documents
  • Maintain confidential records and filing systems
  • Coordinate with project teams, site staff, and suppliers when required
  • Handle phone calls, emails, and correspondence professionally
  • Assist in preparing presentations, reports, and project documentation
  • Follow up on pending tasks and ensure timely completion
  • Manage office communications and ensure smooth workflow
  • Support HR and procurement functions when needed

Qualifications & Requirements

  • Bachelor’s Degree or relevant diploma
  • 3–5 years experience in civil contracting or construction industry (mandatory)
  • Strong knowledge of construction terminology and project documentation
  • Excellent communication skills (English required; Arabic is an advantage)
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Strong organizational and multitasking skills
  • Ability to work under pressure and maintain professionalism
  • Discretion and confidentiality are essential

Preferred Skills

  • Knowledge of UAE labor procedures and documentation
  • Experience coordinating with project managers and site engineers
  • Ability to draft professional letters and reports
