Secretary/Receptionist

Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to serve as the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily administrative functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to ensure smooth office operations and a positive experience for visitors and staff alike. Responsibilities

  • Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression.
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail.
  • Maintain organized filing systems—both physical and digital—using tools such as Google Workspace and Microsoft Word and Excel.
  • Support office management tasks including data entry, calendar management, appointment scheduling, and document proofreading.
  • Assist with bookkeeping activities using QuickBooks or similar software to track expenses and invoices.
  • Provide exceptional customer support by addressing inquiries promptly and professionally across various channels.
  • Perform clerical duties such as photocopying, scanning, faxing, and maintaining office supplies inventory.
  • Demonstrate strong organizational skills by managing multiple priorities efficiently while maintaining accuracy.

Qualifications

  • Proven office experience with a solid understanding of clerical procedures and customer service principles.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills.
  • Experience with multi-line phone systems and excellent phone etiquette is essential.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Familiarity with QuickBooks or bookkeeping software is a plus.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed with high accuracy; proofreading skills are beneficial.
  • Demonstrated ability to manage calendars, schedule appointments, and provide personal assistant support when needed.
