Senior Accounting Coordinator

Job Summary

The Senior Accounting Coordinator supports the financial operations of the school by performing day-to-day accounting and bookkeeping functions. This position works closely with the Director of Finance and Administration, who retains responsibility for higher-level financial management, budgeting, tuition strategy, financial reporting, and Board support.

The ideal candidate brings strong bookkeeping and accounting coordination skills, attention to detail, and comfort working independently within clearly defined systems. This role is well-suited to someone who works at a level above basic bookkeeping but is not expected to function as a full professional accountant. This role is expected to operate independently within established systems without requiring daily oversight.

Relationships

The Senior Accounting Coordinator reports directly to the Director of Finance and Administration. This role does not carry independent fiscal authority; all high-level financial decisions, approvals, and strategy remain with the Director of Finance and Administration.

Key Responsibilities

Accounting & Bookkeeping Operations

  • Process accounts receivable (AR), including tuition billing support, payment tracking, and family account reconciliation.
  • Process accounts payable (AP), including vendor invoices, check runs, and electronic payments.
  • Maintain accurate and timely financial records in the school’s QuickBooks Online accounting system.
  • Record deposits, journal entries, and routine adjustments.
  • Reconcile bank and credit card statements.
  • Administer teacher expense controls and workflow through Bill.com, including tracking submissions, verifying documentation and coding, coordinating approvals in accordance with internal controls, and maintaining accurate reimbursement records.

Tuition & Family Account Support

  • Support tuition contracts and tuition adjustments as directed through the school’s FACTS tuition management system.
  • Coordinate closely with administration regarding enrollment changes affecting billing.
  • Respond professionally to routine family account inquiries, escalating complex issues as appropriate.

Payroll Administration & Compliance Support

  • Administer bi-weekly payroll processing using QuickBooks Online or designated payroll systems.
  • Maintain and prepare payroll data, including hours, stipends, and compensation adjustments, ensuring accuracy prior to processing.
  • Enter or prepare payroll information for processing in accordance with established internal procedures.
  • Support payroll-related recordkeeping, documentation, and compliance requirements.
  • Assist with year-end payroll reporting and audit preparation as requested.

Reporting & Documentation

  • Prepare routine internal financial reports and schedules.
  • Maintain organized digital and paper financial records.
  • Assist with audit preparation and information requests.

Systems & Process Support

  • Follow established financial policies, procedures, and internal controls.
  • Support the ongoing documentation and improvement of accounting systems as financial functions are transitioned in-house.
  • Collaborate with the Director of Finance and Administration during the transition period from outsourced accounting services.
  • Participate in ongoing development and documentation of financial systems to support long-term organizational sustainability.

Qualifications & Experience

Required:

  • 3–5 years of experience in bookkeeping, accounting support, or similar financial operations role.
  • Solid understanding of accounts receivable, accounts payable, and reconciliations.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Proficiency with accounting software and spreadsheets (QuickBooks Online preferred).
  • Ability to work independently while communicating clearly with supervisory staff.
  • Demonstrated ability to independently manage accounting workflows in a small organization with minimal supervision.

Preferred:

  • Experience in a school, nonprofit, or mission-driven organization.
  • Familiarity with tuition-based billing or enrollment-driven revenue systems.
  • Associate’s degree or coursework in accounting, finance, or a related field.
  • Interest in or openness to learning about and supporting Waldorf education and the school’s mission and values.

Compensation

This is a non-exempt hourly position. Compensation is structured on an hourly basis to reflect operational needs and to support accurate time tracking and compliance with wage and hour requirements.

This position is designed for approximately 28-35 hours per week on average, with flexibility based on operational cycles. Hours may increase during peak periods and decrease during slower operational periods, including summer months. Flexible schedule is allowed within core business hours.

Hourly Range: $30–$38 per hour, depending on experience, qualifications, and demonstrated skill level.

Work Environment

This position is designed as a hybrid role. Many accounting functions may be performed remotely once systems and workflows are established; however, regular on-site presence is required to support collaboration, document handling, payroll coordination, and effective communication within the school community. The schedule will be developed collaboratively based on operational needs while allowing flexibility when appropriate.

This position supports a warm, collaborative, and mission-driven environment aligned with Waldorf education principles. The administrative offices serve as a central hub for communication and coordination, requiring a calm, welcoming presence and the ability to engage respectfully with faculty, staff, parents, and visitors.

The role involves extended periods of sitting and requires focus amid occasional interruptions typical of a school setting.

A strong sense of confidentiality, clear communication, and a commitment to fostering a respectful, inclusive, and child-centered school culture are essential. Familiarity with or openness to Waldorf education and its values is preferred.
