Senior Accounts Payable Specialist (Billing & AR Support)

Position Overview

We are seeking a detail-oriented Accounts Payable Specialist to join our team. This role primarily supports Accounts Payable operations, while also assisting with customer billing, collections, and general accounting support.

This is a hands-on accounting role, not an entry-level administrative position. The ideal candidate will have prior experience with vendor payments, invoicing, and financial recordkeeping and be comfortable working in a fast-paced office environment.

This role is best suited for candidates with prior accounting, accounts payable, or bookkeeping experience.

Key Responsibilities

Accounts Payable (Primary Responsibility)

  • Receive and process purchase orders, receiving documents, and vendor invoices
  • Verify invoice accuracy and prepare vendor payments
  • Initiate and document check and electronic payments
  • Maintain organized vendor files and payment records
  • Enter manual checks into the accounting system
  • Assist with 1099 preparation for vendors

Billing & Accounts Receivable

  • Prepare and issue customer invoices for container sales, rentals, and modifications
  • Process and record customer payments
  • Monitor outstanding AR balances and perform professional collections
  • Track and report collection efforts to management
  • Create invoices in government invoicing platforms

Accounting & Administrative Support

  • Maintain accurate customer and vendor account records
  • Enter inventory details and descriptors into internal tracking systems
  • Verify and issue Non-Taxable Transaction Certificates (NTTCs)
  • Review government requests for quotes (RFQs) and route internally when appropriate
  • Provide HR administrative support including E-Verify entries and COBRA notifications
  • Assist with general office tasks including document organization and filing
  • Professionally assist customers and vendors by phone, email, or in person
  • Support other departments and management as needed

Qualifications Required

  • 2+ years of Accounts Payable or billing/accounting experience
  • Experience with invoicing and vendor payments
  • Strong attention to detail and organizational skills
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Strong written and verbal communication skills
  • Ability to prioritize tasks and work both independently and within a team

Preferred

  • Experience with Sage 100 accounting software
  • Experience with government invoicing platforms
  • Experience in construction, manufacturing, logistics, or equipment industries
