We are looking for a highly organized and personable Senior Administrative Assistant to join our team on a contract basis located in the Greater Philadelphia. Region. In this role, you will play a pivotal part in ensuring the smooth operation of office facilities and maintaining a welcoming environment for employees and visitors alike. This is an excellent opportunity for a Senior Administrative Assistant who is detail oriented and committed to delivering exceptional administrative and customer service support.
Here’s how you’ll contribute each day:
• Ensure the reception area and office facilities are consistently maintained to a high standard.
• Welcome and direct clients, visitors, and employees with efficiency and warmth.
• Manage inventory and restock supplies in shared spaces such as pantries and cafes.
• Oversee visitor management systems to ensure compliance with company policies.
• Respond promptly to inquiries from employees and external parties, providing clear information and resolving issues as needed.
• Identify and report any safety concerns within office premises.
• Offer administrative support to the Facilities Management team, including backup assistance as required.
• Coordinate calendars, meetings, and conference calls to facilitate smooth scheduling.
• Perform additional duties as assigned to support the overall operations of the office.
Other requirements for the Senior Administrative Assistant position include and are not limited to:
• Proven experience managing calendars and scheduling appointments.
• Strong background in administrative assistance and receptionist duties.
• Excellent communication skills and ability to interact with diverse groups.
• Ability to manage inventory and supplies efficiently.
• Familiarity with visitor management systems and adherence to organizational policies.
• Detail-oriented with a proactive approach to identifying and addressing safety issues.
• Competence in organizing conference calls and related administrative tasks.
• Flexibility to adapt to evolving responsibilities and support team objectives.
