Senior Administrative Specialist to the Vice President of Academic Affairs and Chief Academic Officer

We are seeking a Senior Administrative Specialist for a full-time role that provides a high level of organizational, logistical, and administrative support to the Vice President of Academic Affairs and Chief Academic Officer. This position, reporting to the Vice President of Academic Affairs, will be located onsite and primarily at the Old Charlotte Highway Campus in Monroe, but with expected travel between Union and Anson counties. The primary schedule for this position will be 40 hours per week Monday-Friday with flexibility needed to work occasional evenings and weekends.

Essential Duties Summary
  • Perform complex administrative and logistical duties with attention to detail
  • Effectively collaborate with the VPAA to manage preparation and correspondence related to meetings:
    • Agenda Preparation
    • Ensure VPAA has pertinent information on the nature of meetings and related meeting responsibilities
    • Communications, scheduling, and venue arrangements
    • Attend meetings as needed
    • Meeting minutes preparation and dissemination
    • Post-meeting follow-up activities as directed
    • File creation and maintenance, updating, and tracking of assignments
    • Represent the VPAA in meetings as needed
  • Serve as a liaison to the Business and Workforce Solutions Division and the SPCC Foundation
  • Maintain calendar and make travel arrangements for the VPAA
  • Available to work at office locations in Monroe and Polkton
  • May work nights and weekends
  • Assist in monitoring divisional budgets
  • Organize academic sanction documentation for VPAA review
  • Prepare communications, presentations, and reports, including related research
  • Coordinate action items with other administrative support personnel as needed
  • Support the VPAA with requests and assignments from the NC Community College System Office
  • Coordinate and help execute Divisional special events such as the annual retreat, awards ceremonies, etc.
  • Order and maintain supplies and equipment for the Office of the VPAA
  • Screen calls, visitors, and respond to inquiries and complaints by referring to the appropriate personnel
  • Perform other duties as assigned by the VPAA

Required Qualifications
  • Associate’s degree from an accredited institution
  • Administrative or related experience
  • Demonstrated excellent written and verbal communication skills
  • Demonstrated strong attention to detail
  • Demonstrated ability to work independently
  • Evidence of effective problem-solving, critical thinking, and decision-making skills
  • Excellent utilization of technology, including Microsoft Office Suite and other software platforms
  • Superior administrative and organizational skills
  • Demonstrated ability to prioritize and manage a high volume of communications from both internal and external constituencies
  • Demonstrated ability to effectively direct multiple projects and initiatives simultaneously
  • Demonstrated ability to maintain strict confidentiality

Preferred Qualifications
  • Bachelor’s Degree
  • Experience with data collection, analysis, and reporting
  • Experience managing budgets
  • Experience in recording meeting minutes
  • Experience in educational institutions
  • Experience in project management
  • Event management experience
