Responsibilities/Communication/OHSE
Key Roles & Responsibilities:
1. Operationalize the medium-term space allocation (TEU, Weight) for all services and direct the weekly allocation.
2. Enforce discipline in Trades and Front-Line Offices to adhere to allocation guidelines and provide prompt and accurate forecasts.
3. Determine load factor in order to plan downline allocation or backloading space through reviewing and managing of forecasts, bookings, and un-forecasted projects.
4. Manage and execute COD (change of destination) requests.
5. In co-ordination with Equipment team, ensure equipment is available at each port as per Forecast requirements.
6. Manage Trade-off between Laden and Empty Container match back according to the Equipment Repositioning Plan.
7. Weekly coordination with Trades, Local Agency & Operations counterparts to ensure that allocated network space resources are fully utilized as planned.
8. Monitor feeder and liner long term forecasted volumes and advise to increase/reduce allocation depending on anticipated changes in the forecast in advance.
9. Review VIP accounts space protection (when required)
10. Liaise and coordinate with Vessel Planners on stowage and owners’ merit, ensuring good distribution of cargo volumes / weight / equipment size types.
11. In the event of network exceptions (e.g. roll pool, port omission, etc.) discuss recovery plan with the Supervisor – Cargo Flow prior presenting to the Trade(alternative options given by the operator, 3PF slot purchase). Trigger discussions with Product & Network for optimized processes.
12. Centralise all cargo flow related decisions by developing the cargo flow guidelines that will assign roles & responsibilities for vessel planners. Obtain annual signatures and assist to refine document over time.
13. Re-design the forecasting format for agents. Monitor the forecasted volumes and compare to actuals. Report performance to Management.
14. Support to develop the cargo flow optimization model. Drive model outputs with vessel planners.
15. Analyse customer behaviours and inform management on changes in customer behaviour, guide sales to higher margin customers. Guide sales to convert customers to lower weight higher yield boxes.
16. Approve requests for overflow – requests for additional space in line with the approval Matrix and liase with agents.
17. Strategic analysis of the flow of cargo across the network and advising on potential calls/additions or changes to the current services that could yield positive outcome for container shipping.
Chartering Department Responsibilities (As & When required):
18. Manage Post-Fixture Charter – IN and OUT administration. Including maintenance of State of Account for reconciliation for Owners and Charterers expenses.
19. Request payment for Charter Hire.
20. Collaborate with internal stakeholders to prepre settlement of account and consider any dispute to include in the last hire payment.
21. Authority to charge owners for owners expenses and charterer for charter expenses in both satiuation charter in and out.
22. Create hire startement calendar for each vessel (charter in and out) to ensure owners receive payment during the due date.
23. Request payments for chartered in and out vessels following hire calendars.
24. Expose owners to all expenses considered after procoddeing with payment approvals.
25. Support in finalizing charter party with internal stakeholders.
