The Senior Clinic Receptionist is the first point of contact for clients and a key operational and leadership figure within the clinic. The role is responsible for delivering an exceptional patient experience, overseeing front desk operations, managing administrative workflows, and leading the reception team to ensure the clinic and individuals consistently meet performance, sales, and service targets.
Key Responsibilities
Patient Experience & Front Desk Operations
- Welcome patients professionally and manage check-in/check-out processes with accuracy and discretion
- Handle appointment scheduling, confirmations, rescheduling, and cancellations efficiently
- Respond to patient inquiries in person, via phone, WhatsApp, and email with a high standard of care
- Manage patient records, consent forms, and documentation in compliance with clinic policies
- Act as the first point of contact for client complaints, resolving concerns where appropriate and escalating when necessary
Administrative & Operational Support
- Coordinate daily clinic schedules for practitioners and treatment rooms
- Process payments, invoices, and end-of-day reconciliation
- Monitor reception supplies and liaise with management for replenishment
- Ensure reception area standards consistently reflect the clinic’s brand and professionalism
Leadership & Team Support
- Lead and support the reception team, ensuring accountability and performance against targets
- Act as a point of escalation for junior staff and patient concerns
- Support onboarding and training of new reception team members
- Enforce clinic protocols, service standards, and patient confidentiality policies
- Communicate operational issues proactively to clinic management
Industry Knowledge & Client Support
- Maintain an in-depth, up-to-date understanding of advanced skincare treatments and trends, including exosomes, SkinPen microneedling, and regenerative technologies
- Confidently support client education and align front-desk communication with practitioner recommendations
Compliance & Quality Assurance
- Uphold patient confidentiality, data protection, and health compliance standards
- Ensure accurate record-keeping and adherence to clinic procedures
- Support audit readiness and internal quality controls
Qualifications & Skills
- 3–5 years’ experience in a clinic, medical, or high-end service reception role
- Previous senior or supervisory experience preferred
- Strong communication skills with a calm, professional demeanor
- High attention to detail with the ability to multitask in a fast-paced environment
- Proficiency in clinic management software and MS Office
- Excellent problem-solving and conflict-resolution skills
