Job Summary
The Senior Document Controller is responsible for managing, controlling, and safeguarding all project and corporate documentation, with a strong focus on contracts, commercial correspondence, and governance-critical records. The role ensures document integrity, traceability, and compliance across all departments and projects, while supporting contract administration and senior management reporting.
Key Responsibilities
1. Document Control & Governance:
- Establish, implement, and maintain document control procedures in line with company policies and project requirements.
- Manage document registers, numbering systems, version control, and approval workflows for all technical, commercial, and contractual documents.
- Ensure timely receipt, review, distribution, and archiving of documents across internal teams and external stakeholders.
- Maintain audit-ready document trails and logs in compliance with contractual, legal, project control procedure and regulatory requirements.
2. Contracts & Commercial Documentation:
- Manage and archive all contract-related documentation including main contracts, subcontracts, MOUs, LOIs, amendments, addenda, and correspondence.
- Support the Commercial teams by controlling contract execution versions, signature pages, bonds, guarantees, insurances, and contractual notices.
- Ensure all contractual communications (letters, notices, claims, instructions) are logged, tracked, and retrievable.
- Assist in maintaining contract status logs, variation registers, and key contractual dates (milestones, expiry, renewals).
3. Systems & Digital Platforms:
- Administer document management systems (e.g. Onsite, Aconex, Procore, SharePoint, or equivalent).
- Ensure data accuracy, access control, and proper user permissions across systems.
- Drive continuous improvement in document control workflows and digitalization initiatives.
- Asset in capturing and reflecting all Data in the Commercial dashboard accurately for the complete Portfolio of MERED Projects/ Procurement Activities.
4. Leadership & Coordination:
- Act as the senior focal point for document control across projects and departments.
- Guide and mentor junior document controllers, ensuring consistency and best practices.
- Coordinate with Project Managers, Commercial, Legal, Design, Contractors, Suppliers and Operations teams to ensure alignment and timely documentation.
5. Reporting & Compliance:
- Prepare periodic reports on document status, contractual deliverables, and compliance risks.
- Support internal and external audits by providing accurate and complete documentation.
- Flag relevant documents/ correspondence that entail contractual risks to management proactively.
Required Qualifications
- Diploma or bachelor’s degree in business administration, or a related field.
- Minimum 7–10 years of experience in document control, with strong exposure to contracts and commercial documentation in construction, real estate, or engineering projects.
- Proven experience working with developers, consultants, contractors, and suppliers.
Skills and Competencies
- Strong understanding of contract structures, contractual correspondence, and document governance.
- Advanced knowledge of document control systems and Microsoft Office.
- High attention to detail with strong organizational and time-management skills.
- Ability to handle confidential and legally sensitive information with discretion.
- Strong communication skills and the ability to coordinate across senior stakeholders.
