Location: Irvine, CA (Hybrid)
Supports: Multiple Executive Leadership Team members currently including the Chief Administrative & Legal Officer, Chief Financial Officer, Chief Information Officer, and President, International (support assignments may evolve based on business needs)

Compensation Range: $105,000 - $120,000 DOE
Annual Incentive Plan Bonus Target: 10%
Exempt Status: Exempt

Position Summary

Xponential Fitness is seeking a highly proactive, resourceful, and polished Senior Executive Assistant to provide dedicated support to multiple members of the Executive Leadership Team. This role currently supports the Chief Administrative & Legal Officer, Chief Financial Officer, Chief Information Officer, and President, International, with flexibility for support assignments to evolve as organizational needs change.

This is a dynamic shared-support role requiring someone who can seamlessly manage competing priorities across multiple senior executives, anticipate needs, exercise sound judgment, and operate with a high degree of professionalism and discretion in a fast-paced environment.

The ideal candidate operates as a trusted partner, not simply an administrator, helping executives stay organized, prepared, and focused while driving efficiency and follow-through.

Key Responsibilities

Executive Support


  • Provide high-level administrative support to multiple senior executives, including complex calendar management, inbox management, scheduling, and prioritization of competing demands


  • Coordinate meetings across multiple executive schedules, resolving conflicts and adjusting priorities proactively

  • Manage domestic and international travel arrangements, itineraries, logistics, and expense reporting

  • Prepare, edit, and format presentations, correspondence, agendas, reports, and meeting materials

  • Support preparation and coordination of confidential materials for leadership, board, and other executive-level meetings as needed

  • Support meeting preparation and follow-up, including materials coordination, notes, and action item tracking as needed

  • Process expenses, invoices, and other administrative workflows accurately and timely

  • Anticipate executive needs, identify issues before they arise, and proactively solve problems to improve efficiency and effectiveness

  • Serve as a trusted partner to support executives, demonstrating responsiveness, discretion, and strong follow-through


Operational and Team Support


  • Provide occasional administrative support to broader functional teams as capacity permits


  • Assist with special projects and ad hoc business needs across supported functions

  • Partner with other Executive Assistants to ensure seamless executive office coverage

  • Provide periodic reception desk coverage during breaks or scheduled coverage needs, in partnership with the executive support team


Culture and Employee Experience Support


  • Support employee engagement activities and culture initiatives as needed


  • Contribute to a collaborative, service-oriented office environment


Qualifications


  • 7+ years of experience supporting senior executives, preferably including C-suite leaders, in a complex, fast-paced environment


  • Demonstrated success supporting multiple executives simultaneously and managing competing priorities

  • Exceptional organizational skills, attention to detail, and follow-through

  • Proven ability to handle highly confidential and sensitive information with discretion

  • Strong judgment, professionalism, and proactive problem-solving skills

  • Excellent written and verbal communication skills


Technical Skills


  • Advanced proficiency in Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides


  • Proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint

  • Experience with expense management and travel booking platforms preferred

  • Experience using project management or collaboration tools such as monday.com preferred, but not required

  • Comfort learning and leveraging new technologies to improve efficiency and organization
