The Role
We are seeking an exceptional Senior Executive Assistant and Client Liaison who thrives in a fast-moving, high-accountability environment supporting two executives. This position sits at the center of our speaking, research, media, and advisory work. You will operate as a strategic partner to the executives and as a central hub for client coordination, workflow execution, and operational alignment across the organization.
You will serve as the central hub of communication, scheduling, logistics, and relationship management for our CEO and President, ensuring they can operate at peak effectiveness across research, keynote speaking, media, and executive advisory work.
This is not a passive administrative role. It is a mission-critical position that requires judgment, executive anticipation, daily coordination, and strong attention to detail as well as being AI-forward.
Your Responsibilities
Executive Operations
- Manage complex calendars across multiple time zones with daily prioritization
- Coordinate 200+ annual travel segments, including flights, hotels, ground transport, and contingencies
- Assist executives with preparation for meetings, keynotes, and media appearances
- Anticipate scheduling conflicts and resolve them before they become problems
- Handle confidential information with absolute professionalism and trust
- Coordinate resource delivery to clients
- Leverage AI tools and resources for creating ongoing efficiencies
Client and Partner Liaison
- Serve as the first point of contact for clients, media, and strategic partners
- Support high-profile speaking engagements from contract to delivery
- Support Sales and Research Division with contracts, proposals, scheduling, and timelines
- Coordinate logistics for events ranging from boardroom presentations to arenas
- Ensure every interaction reflects our premium brand, attention to detail, and reliability
- Support relationships with repeat clients, key vendors, and strategic partners
Communication and Workflow Management
- Manage inbound email, calls, and requests with judgment and speed
- Learn AI tools and resources to continuously improve workflows, output, and efficiencies
- Track project deliverables and deadlines across multiple projects
- Collaborate with sales, research, and operations teams
- Maintain organized systems across Google Workspace, Dropbox, and CRM tools
- Edit various materials for outstanding communication
- Support special projects that require attention to detail and self-directed responsibilities
- Prepare internal reporting on sales, project status, and operational metrics

Qualifications
- Bachelor’s degree required (business or related field preferred)
- 3+ years supporting senior executives or C-suite leaders
- Experience managing complex calendars and travel logistics
- Exceptional written and verbal communication skills
- Experience drafting proposals, SOW’s, and contracts
- Strong judgment, discretion, and professionalism
- High proficiency with Google Workspace and modern collaboration tools
- Basic experience with web-based platforms, such as WordPress and social media
- Ability to prioritize competing demands with confidence
- Comfort working in a small, accountable, high-trust team
