We are seeking a highly skilled Senior Executive – Finance & Accounts with a strong background in Freight Forwarding, Shipping, and Logistics, specifically focused on US-based Import & Export operations (Sea & Air). The ideal candidate must possess deep financial acumen combined with a clear understanding of forwarding operational costs, shipping tariffs, customs duties, surcharges, and industry-specific billing norms.
This role demands accuracy, analytical strength, and leadership in managing payables, receivables, and financial compliance within a fast-paced logistics environment.
Key Responsibilities
Prime responsibilities include but not limited to following
Forwarding & Shipping Cost Control
- Validate and approve Carrier & Airline invoices, trucking bills, warehouse/storage bills, and customs broker charges.
- Coordinate job costing and profitability analysis per shipment (Sea/Air – Import & Export).
- Maintain accurate SOPs for freight invoicing formats, credit notes, and debit notes aligning with USA forwarding standards.
- Ensure compliance with incoterms, shipping documentation norms, and cargo handling cost structures.
Billing & Invoicing Management
- Supervise customer invoicing, rate approvals, cost sheets, and ensure adherence to contractual billing terms (Prepaid / Collect shipments).
- Track outstanding receivables, evaluate credit limits, and implement follow-up mechanisms to reduce DSO.
- Verify and post supplier invoices, consolidate vendor statements, and manage forex adjustments linked to freight invoices.
Compliance & Taxation
- Oversee compliance with customs regulations, duty payments, filing, and finance audits related to USA freight movements.
- Manage port charges, TSA fees, AMS Filings, port security surcharges, etc., ensuring correct cost booking.
Financial Accounting & Reporting
- Manage Accounts Receivable & Payable specific to freight operations, ensuring timely billing, collection follow-ups, vendor reconciliation, and dispute resolution.
- Prepare MIS Reports, financial statements, and cash flow forecasts with emphasis on freight revenues, carrier charges, and operational margins.
- Monitor and control freight cost allocation, handling charges, warehousing fees, terminal handling fees (THC), I.T. fees, AMS, ISF, customs duty, demurrage & detention.
- Oversee end-to-end accounting functions including General Ledger, Trial Balance, P&L, and Balance Sheet finalization.
Qualifications & Skills
- Bachelor’s / Master’s Degree in Finance, Accounting, or related field (CPA/ACCA/MBA preferred).
- Minimum 1+ years of finance experience in Freight Forwarding / Logistics (Oversead trade lanes preferred).
- Familarity with Import/Export documentation (BL, AWB, HBL/HAWB), Incoterms & Shipping Finance workflow.
- Proficient in ERP / TMS / Freight Management Software (CargoWise, Descartes, Magaya, etc.).
- Advanced MS Excel & financial reporting skills.
- Excellent leadership, analytical, and communication abilities.
