Position Summary

This position description has been prepared to assist in evaluating duties, responsibilities, and skills of the position. It is not intended as a complete list of specific responsibilities and duties, nor is it intended to limit duties to those listed.

This is a professional working supervisory/secretarial position under the direction of the District Attorney, responsible for all aspects of the administrative work of the office.

Employee consistently exercises independent judgment and discretion responsibilities in carrying out duties while maintaining confidentiality.

Essential Duties and Responsibilities

  • Plans, assigns, directs, performs and checks clerical workflow for accuracy, adherence to deadlines, and facilitation of the prosecutorial function of the department.
  • Provides functional supervision of clerical support staff to accomplish these and other departmental responsibilities and goals.
  • Responsible for development and maintenance of accounting and record-keeping systems to meet department budget and County/State/Federal Monitors department expenses for budget compliance.
  • Assists District Attorney in budget preparation and submission.
  • Maintains department administrative and personnel files and records.
  • Follows through with reviews of files to ensure that all documents are available in the case file for the attorney’s use; pulls and reviews files.
  • Assists prosecutors in investigation of cases, obtaining additional information, running record checks, checking into habitual criminal status and other assistance with case preparation as requested.
  • Assists with drafting and prepares criminal and other complaints, summons, notices to appear, and notices to defense, search and arrest warrants, affidavits, briefs, memorandum of law, motions, agreements, various other legal documents, correspondence, letters, memos, and reports.
  • Coordinates cases with Victim/Witness Assistance Coordinator, and with Clerk of Court, including canceling warrants and bond conditions.
  • Initiates and receives calls and correspondence from Attorneys, Judges, Clerks of Court, citizens, other departments, etc., concerning case status, disposition, scheduling, etc.
  • Coordinates scheduling of hearings and trial in conjunction with Clerk of Court, Judge, and prosecutors.
  • Assists in the determination of restitution to victims.
  • Prepares and bills for discovery requests as authorized.
  • Refers to State Statutes to verify that statute numbers quoted are correct.
  • Responsible daily for pick-up of mail as soon as available and delivery to the post office of outgoing mail by deadline for postal pickup.
  • Keeps office statistics, records, routes mail and files information, keeps records, uses copier.
  • Orders and maintains inventory of office supplies, postage, equipment, etc.

  • Attends staff meetings and training sessions.

Physical Demands

  • Ability to sit, stand, and move around for extended periods.
  • Proficiency in keyboarding and using office equipment such as computers, printers, and copiers.
  • Capable of lifting and carrying light to moderate office supplies.
  • Visual acuity to read printed materials and view computers screen for extended periods.
  • Manual dexterity to operate office equipment and perform tasks such as filing and organizing paperwork.
  • Ability to communicate with the public and Vernon County staff in-person and on the phone.
  • May occasionally handle stressful situations and short deadlines.
  • May travel to other offices or sites for meetings, mail, etc.
  • Involves minimal potential and/or direct exposure to blood or body fluids.

Education and Training Requirements

  • Graduation from an accredited high School or GED, supplemented by legal secretarial technical school training with additional courses in business/accounting/supervision. Preference for experience in a law office. Requires Dictaphone and computer experience including word-processing, spreadsheet and accounting applications; with preference for demonstrated competency in word-processing, and accounting Or any acceptable equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities.
  • Possession of a valid driver’s license and reliable transportation with adequate auto insurance to meet minimum County requirements, or access to reliable transportation for city and rural travel.
