The Senior Management Assistant will be a member of the ExCEL Program Team. This position supports the work and the mission of the District’s ExCEL After School Programs Department, which collaborates with 16 Community-Based Organizations (CBOs) that operate 87 after-school and summer programs. Under the supervision of the ExCEL Manager 1, the Senior Management Assistant is responsible for addressing incidents that occur at SFUSD ExCEL After-School Program sites during the school year and summer programs. This includes managing logistics, conducting research, liaising with the legal office, and drafting memos to CBO agencies. The Sr. Management Assistant will facilitate communication between CBO partners and the SFUSD department, as well as perform other related duties as required.

Essential Duties

The duties specified below are representative of the range of duties assigned to the job code/class and are not intended to be an inclusive or exhaustive list.

As the Senior Management Assistant you will:

  • Assist in the written and oral communication by providing information for the ExCEL Lead Manager and ExCEL Manager 1, and serve as a notetaker.
  • Under direction, prepare written summaries in narrative, outline, or graphic form, and a variety of other tasks related to supporting the resolution of incidents for ExCEL After School Programs.
  • Manage assigned files through the Salesforce Incident Reporting System, including electronic files, for cases handled by the ExCEL After School Programs
  • Assist with case management related to ExCEL After School Programs, including document organization and management.
  • As a part of the ExCEL Program Team, support the creation and presentation of the Quality Action plan, Incident Protocol, including but not limited to the ExCEL Program Profiles
  • Support professional development related to Title IX, Adult-student boundaries, and incident reporting.
  • Support in the roll-out process for Incident reporting in Salesforce.
  • Perform related duties and responsibilities, as assigned.

  • Ability to work effectively in difficult situations that may involve confidential or sensitive matters
  • Strong computer skills, including proficiency in G Suite, Microsoft Office Suite, Zoom, Adobe, and similar systems like Salesforce.
  • Ability to work independently and exercise good judgment

Requires skills in: Speaking effectively in public; writing and preparing effective technical, statistical and other data and analyses which are accurate, complete and understandable to the public; communicating with and dealing effectively with people of a wide variety of ethnic, religious and socio-economic backgrounds.


Minimum Qualifications

Education: Possession of a Baccalaureate Degree from an accredited college or university.

Experience: Three (3) years full-time equivalent experience performing professional-level administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution: Additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.
