We are seeking a dynamic, dedicated and detail-oriented Senior Personal Injury Case Manager – Intake & Client Care Specialist to join our legal team. This is not an entry-level role. To fill this vital role, we are looking for a seasoned personal injury case manager who, with minimal supervision, can manage a full caseload, communicate effectively with clients and insurance companies, and consistently drive cases forward. You are not just managing files—you are driving outcomes. So, setting a strong foundation at the outset of the case is key to obtaining the best results for our clients.

The Senior Case Manager– Intake & Client Care Specialist serves as the first point of contact for prospective clients, expertly managing initial case intake and providing compassionate, professional support throughout the client journey. An energetic approach and meticulous attention to detail will ensure a seamless onboarding process, setting the foundation for successful case management. Responsibilities

  • Manage a full caseload of personal injury pre-litigation files
  • Take full ownership of your cases and proactively move them forward at all times
  • Conduct thorough initial interviews with prospective personal injury clients to gather detailed case information using effective interviewing techniques
  • Manage the intake process efficiently by verifying client eligibility, documenting case details, and ensuring all necessary documentation is collected accurately (accident reports, medical records, insurance information, etc.)
  • Provide empathetic and clear communication to clients, explaining legal procedures and setting expectations for their case progression
  • Request medical records and bills and aggressively follow up on requests until requested information is provided
  • Maintain accurate, detailed, and organized electronic and physical case files and enter data in case management software and firm logs
  • Open claims, verify coverage, and stay on top of insurance carriers
  • Open property damage claims and coordinate repair or quick and satisfactory resolution
  • Monitor treatment progress and strategically evaluate case value
  • Serve as the point of contact for clients, delivering clear, consistent and professional case status updates throughout the entire pre litigation phase (i.e. from intake through settlement)
  • Utilize legal case management systems such as Neos and internal firm management systems to organize client files, track case status, and maintain comprehensive records
  • Collaborate with attorneys and paralegals to facilitate smooth case transitions from intake to active litigation or settlement processes
  • Review legal documents for accuracy and completeness while proofreading and editing drafts for clarity and consistency
  • Demonstrate excellent phone etiquette while managing multiple inquiries with professionalism and organizational skills
  • Proven experience in legal administrative support or as a paralegal within a law office environment specializing in personal injury law
  • Strong knowledge of legal research tools including Westlaw, LexisNexis, and other legal research platforms
  • Demonstrated ability to handle sensitive client information with confidentiality and professionalism
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Exceptional communication skills—both written and verbal—with a focus on empathetic client interaction and clear documentation practices.
  • Experience in conducting interviews, managing client relationships, and supporting litigation or case development processes.

Pay: $21.00 - $26.00 per hour
