Job Summary:
The Senior Property Admin will provide high-level administrative and operational support to the Property Management Department, ensuring smooth day-to-day operations of property portfolios. This role requires strong organizational skills, attention to detail, and the ability to manage multiple stakeholders including tenants, vendors, and internal teams.
Key Responsibilities:
- Oversee and manage daily administrative operations of the Property Management Department.
- Support property managers with scheduling, reporting, documentation, and tenant communications.
- Maintain and update property records, contracts, licenses, and related documentation.
- Prepare and monitor budgets, invoices, payment processing, and expense tracking.
- Coordinate maintenance requests, service providers, and inspections for multiple properties.
- Assist in tenant onboarding, lease agreements, renewals, and terminations.
- Draft correspondence, memos, and reports for internal and external stakeholders.
- Ensure compliance with company policies, regulatory requirements, and legal obligations.
- Train, mentor, and supervise junior administrative staff within the department.
- Streamline administrative processes, implement best practices, and maintain operational efficiency.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Management, Real Estate, or related field.
- Minimum of 5 years of administrative experience, preferably in real estate or property management.
- Strong knowledge of property management operations and real estate documentation.
- Excellent organizational, planning, and multitasking abilities.
- Proficient in MS Office (Word, Excel, Outlook) and property management software.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Detail-oriented, proactive, and capable of problem-solving independently.
