Job Roles and Key Responsibilities:

General Responsibilities

  • Lead the Registrar’s Office and oversee all academic records, student registration, course scheduling, graduation processing, and enrollment certifications.
  • Ensure the integrity, security, and compliance of student records in accordance with institutional policies and national regulations.
  • Serve as the higher education institution’s authority on academic policies, academic calendar coordination, and regulatory reporting.
  • Act as a key liaison between students, faculty, academic departments, and external regulatory bodies.

Strategic Responsibilities

  • Lead digital transformation efforts related to student records, enrollment systems, and academic data reporting.
  • Contribute to strategic academic planning by providing reliable enrollment and graduation data.
  • Ensure alignment of registrar functions with the Ministry of Education, accreditation bodies, and Vision 2030 priorities.
  • Oversee policy development for registration, grading, academic standing, and degree audits.
  • Support institutional accreditation and external audits through data preparation and compliance reporting.


Operational Responsibilities

  • Supervise and manage all functions related to student registration, course enrollment, academic records, transfer credit evaluations, and graduation clearances.
  • Maintain the accuracy and confidentiality of student records and ensure timely updates in the Student Information System (SIS)
  • Develop and manage the academic calendar, course catalog, and schedule of classes in coordination with academic departments.
  • Ensure timely issuance of transcripts, diplomas, enrollment verifications, and academic standing letters.
  • Resolve registration issues, appeals, and academic record disputes.
  • Monitor and report key academic metrics including enrollment, retention, course completion, and graduation rates.


Ideal Experience, Capabilities and Skills:

Industry Experience

  • 10 years of experience in academic administration, with at least 5 years in a registrar or academic records leadership role.
  • Deep understanding of higher education operations, academic regulations, and student lifecycle management.
  • Prior experience in working with Ministry of Education reporting and regulatory frameworks in Saudi Arabia or the GCC.



Management Capabilities

  • Strong leadership and team management skills with experience in supervising registrar or academic operations teams.
  • Skilled in academic policy implementation, registration systems, and cross-functional coordination.
  • Proficiency in using Student Information Systems (SIS), academic reporting tools, and document management platforms.
  • Ability to design workflows and systems for efficient service delivery and compliance.

Interpersonal & Leadership skills

  • Detail-oriented, process-driven, and responsive to both student and faculty needs.
  • Strong communication skills in Arabic and English, including academic writing and official documentation.
  • Integrity, discretion, and a strong sense of accountability in handling sensitive information.
  • Collaborative leader with problem-solving mindset and stakeholder engagement skills.
