1. Role Overview
Reports To: (Projects Manager)
Role Purpose: To lead the planning, execution, monitoring, control, and closure of projects ensuring delivery on time, within budget, meeting scope and quality goals, and satisfying stakeholder expectations.
2. Key Responsibilities & Duties
Project Planning & Initiation
- Define project scope, objectives, deliverable Develop project charter / initiation document Identify stakeholders and their roles Develop project management plan (schedule, cost, quality, communications, risk, procurement, resources)
- Approved project charter, Stakeholder register, Baseline project management plan
Scope & Requirements Management
- Elicit, document, and validate requirements Manage scope changes (change control) Maintain scope baseline and traceability
- Documented requirements, Change requests processed, Scope change log
Time & Schedule Management
- Create WBS / task breakdown Estimate durations & allocate resources Create and maintain project schedule (e.g. Gantt charts) Monitor actual vs planned timeline
- Schedule baseline, Regular schedule updates, On‑time milestone delivery
Cost & Budget Management
- Estimate costs Create project budget Monitor and control expenditures Forecast cost variances and take corrective actions
- Budget baseline, Cost variance reports, Forecasts and cost control
Resource & Team Management
- Select, assign and onboard project team Define roles and responsibilities (RACI) Monitor team performance and resolve conflicts Provide guidance, training, motivation
- Project team organized Resource utilization reports, Healthy team morale and performance
Quality Management
- Define quality criteria and metrics Plan quality assurance and quality control activities Conduct audits and reviews Ensure deliverables meet acceptance criteria

Risk, Issues & Change Management
- Identify project risks and opportunities Perform risk analysis (qualitative / quantitative) Plan response strategies & mitigation Monitor and manage issues Manage change requests

Stakeholder & Communication Management
- Develop communication plan Engage stakeholders and manage expectations Report status to sponsors, steering committees Escalate issues as needed

Procurement & Vendor Management
- Plan procurements Select vendors / contractors Manage vendor contracts, deliverables, relationships Ensure vendor compliance with scope, schedule, quality

Monitoring, Controlling & Reporting
- Track project performance vs baselines Measure KPIs (cost, schedule, quality) Generate variance reports Perform earned value analysis (if applicable) Recommend corrective / preventive actions
- Performance dashboards, Variance analyses, Action items & mitigation plans.
Project Closure & Lessons Learned
- Formal acceptance of deliverables Close contracts Archive documentation Conduct lessons learned / retrospectives Release resources
- Closure report, Lessons learned document, Archive files, Post‑project review
3. Authority & Decision Rights
- Approve or reject change requests within pre‑defined threshold Reallocate resources within project Negotiate scope adjustments with stakeholders Escalate to Sponsor / Steering Committee when exceeding thresholds
4. Interfaces / Reporting Relationships
- Internal Stakeholders: Project team, functional managers, subject-matter experts External Stakeholders: Clients, regulators, vendors, partners Reporting: Regular status reports to Sponsor / Steering Committee, stakeholders
