CEO Office Executive – UAE-based

Abu Dhabi, United Arab Emirates

Role Purpose

Turn CEO decisions into clear tasks and timelines, coordinate cross-team execution, keep documents compliant, and ensure milestones are delivered on time.

Key Responsibilities

  • Convert meetings/briefs into task lists with owner, deadline, acceptance criteria; update daily.
  • Run short stand-ups (15–30 min), escalate blockers, ensure 24–72h closure.
  • Prepare and file quotes, POs, weekly reports, MoM, change/acceptance forms using company templates.
  • Maintain Gantt/WBS, risk & issue logs; prepare weekly/monthly packs.
  • Track funnel metrics (lead→order→delivery→cash) and publish RAG dashboards.
  • Vendor/customer coordination (operators, utilities, landlords, gov’t appointments).
  • Logistics & admin support: meeting schedules, FAT packs, simple sourcing & follow-ups.

Requirements

  • 5 years in B2B project coordination/operations/admin (ICT/IoT/system integrator preferred).
  • Strong documentation skills; fluent English (Arabic or Chinese is a plus).
  • Tools: Excel/Sheets (Pivot/VLOOKUP), PowerPoint, basic project tools (Smartsheet/Asana/Jira).
  • UAE driving license preferred; able to travel within the UAE as needed.
