Service Administrator/Coordinator

SUMMARY

The Service Coordinator position will be the “face” and “voice” of the service department, interacting and coordinating with customers, vendors, technicians, salespeople, management and other departments. They will be responsible for moderately complex planning, coordination, administration, and scheduling of the activities of field technicians, by performing the duties listed below.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following:

  • Interact with customers by phone and email regarding needs, such as requests for technical service, part orders and issue resolution, based on information gathered from other departments or project knowledge.
  • Coordinate service resources; assist with assigning team members to service calls and projects providing them with appropriate paperwork and coordinating process of returned documentation.
  • Support scheduling/ordering of materials, sub-contractors, and equipment based on project needs.
  • Coordinate with the parts department to verify availability of parts and equipment to ensure scheduled work can be completed.
  • Coordinate scheduling/shipping of vehicles, parts, and equipment requiring repairs/service.
  • Assist with the review of project and completed service call documentation to create and file paperwork to close-out as needed.
  • Maintain customer satisfaction by investigating concerns and special requests, addressing them or routing them to the correct person when necessary.
  • Review service requests from customers or other departments and records type and scope of service to be performed in service management system, generating work orders as necessary.
  • Log service start-up and service work requirements in job tracking system.
  • Responsible for generating, interpreting, and printing various reports and documents.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Two years or greater related experience preferred. All candidates with strong administrative, computer, and organizational skills will be considered.

COMPUTER SKILLS

Ability to use Microsoft Word and Excel effectively with little or no assistance. Familiar with contact management software such as Outlook. Construction/Service management software experience preferred. Preference will be given to candidates with ComputerEase experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

SCHEDULED HOURS/LOCATION

Primarily Monday through Friday 7:30 am to 4:30 pm, with flexibility to work additional hours as necessary. This is an on-site position in Castleton-on-Hudson, NY; remote workers will not be considered.
