Service Coordinator/Dispatcher

The Service Coordinator is responsible for facilitating the Service Department work flow which includes; coordinating the department schedule, communication with customers, communicating service personnel, processing paperwork, ensuring work orders are completed, and billing or handing off completed service work to finance for billing per work flow.

Key Responsibilities

• Answer phone calls from customers, take accurate messages, and relay information to the appropriate personnel
• Acquire / maintain customer POs for all work performed
• Schedule work for technicians including: prioritizing / dispatching emergency service calls
• Contacting customers for preventative maintenance and quoted work
• Coordinating schedule with outside parties (subcontractor, inspectors, etc.)
• Ordering of Parts as needed or coordinating with Parts Department to ensure that all parts requirements are available for all jobs. (i.e. ordering parts, receiving parts and / or pulling parts from inventory.)
• Follow-up calls to customer after completion of service work to determine customer satisfaction
• Review, complete, and bill completed work orders or hand off to Finance for billing per work flow
• Bill planned maintenance agreements
• Maintain customer files with service department paperwork.
• Maintain an adequate supply of Service Department forms.

Education

High School Diploma or equivalent, required.

Experience

Prior service department experience helpful.

Knowledge of boiler room systems.

Knowledge of Oracle NetSuite and NextService software a plus.

Pay: $25.00 - $30.00 per hour
