JOB PURPOSE / SUMMARY
The Service Receptionist serves as the first point of contact for customers visiting or contacting the service department, providing exceptional customer service, managing inquiries, and coordinating appointments to ensure a positive customer experience.
DUTIES AND RESPONSIBILITIES

Greet customers in person and over the phone, addressing inquiries and directing them to the appropriate service advisor or technician.

Schedule service appointments, coordinating with customers and service advisors to ensure availability and meet customer needs.

Manage incoming calls and messages, provide information, scheduling appointments, and directing inquiries to the appropriate department or personnel.

Maintain cleanliness and organization in the reception area, including customer waiting areas and service advisor workspaces.

Assist service advisors and technicians with administrative tasks, such as data entry, filing, and preparing paperwork for service appointments.

Handle customer inquiries and complaints professionally and promptly, seeking resolution to ensure customer satisfaction.

Update customer information and service records accurately in the dealership's database or management system.

Follow dealership and manufacturer guidelines for service pricing, promotions, and warranty claims.

Serve as the middleman between insurance company's and advisors and make calls.

Call customers to let them know if their parts are there, so they can bring their car in to get installed.

Stay updated on dealership services, promotions, and policies to effectively assist customers and provide accurate information.

Collaborate with other departments, such as sales and parts, to support overall dealership operations and customer service efforts.

Checking in all New Delivery Units, checking for damage.

Writing up new units for Pre-Delivery Inspection.

Callback follow-up with customers to ensure satisfaction.

Requirements:
- High school diploma or equivalent; additional education or certification in customer service or administration is advantageous.

Previous experience in a customer service or receptionist role is preferred.

Knowledge of Xtime and Dealertrack.

Effective communication and interpersonal skills, with the ability to interact effectively with customers and team members.

Excellent organizational and multitasking abilities, with attention to detail.

Proficiency in MS Office applications and computerized office systems.

Ability to work efficiently in a fast-paced and customer-focused environment.

Professional demeanor and appearance.

Valid driver's license and clean driving record.
